What you will do :
- Support the General Manager, and Operations Manager with day-to-day tasks, including liaising with tenants, vendors and customers, scheduling, and following up on related matters.
- Help with general office tasks such as managing deliveries, filing, and ensuring office supplies and equipment are well-maintained.
You'll also maintain a welcoming reception area where you will greet guests and manage the incoming calls.
- Collect and track tenant insurance and sales information and assist in generating monthly reports.
- Learn to read and analyze leases and help with lease administration including lease assignments.
- Assist with processing tenant improvement payments and security deposit reconciliations.
- Coordinate tenant move-ins, move-outs, and tenant welcome packages, and maintain tenant contact information.
- Process accounts payable by coding, verifying, and entering invoices, and supporting the head office with timely payments.
- Cross-train in cash receipt applications, learning key financial processes.
- Manage utility accounts, billing, collection and reporting.
- Support vendors / suppliers by setting them up for payment systems and processing payments.
- Prepare and reconcile monthly Visa transaction statements.
- Communicate with accounting staff, vendors, suppliers, and contractors to resolve invoice inquiries.
- Maintain organized filing systems and ensure records for tenants, operations, and general correspondence are up to date.
- Assist with maintaining tenant and emergency contact lists, keeping the team informed and ready.
Who you are :
- Experience : 1-3 years of related accounts payable experience in the real estate industry or a similar field. Property management experience is an asset.
- Education : High school diploma, with post-secondary accounting courses or equivalent experience.
- Skills : Strong communication skills, ability to prioritize tasks, manage tight deadlines, and work under pressure. Proficiency in Microsoft Excel and Word.
Experience with Yardi is an asset but not required.
- Attitude : We're looking for someone with enthusiasm, a desire to learn, and a team-oriented mindset.
- Police Clearance : A criminal verification check is required for employment
