The Role
We are searching for a detail-oriented administrative professional with superior organizational skills to join our team.
As part of this dynamic results-driven team, you provide high-level, efficient and confidential administrative support to the Labour Relations & People Experience leadership.
In this role you manage calendars, schedule meetings, prepare and distribute meeting minutes, coordinate travel arrangements, manage records and documents, prepare presentations, document preparation, budget preparation and monthly variance reporting.
The Opportunity
Reporting directly to and partnering with the Executive Director, Labour Relations and Executive Director, People Experience, you add value by key areas of oversight such as :
- Supporting the Executive Directors in all aspects of the efficient operation of the Labour Relations and People Experience teams as directed by leadership
- Establishing and managing administrative procedures and guidelines to ensure effective coordination and timeliness of responsibilities
- Screening and prioritizing incoming demands (calendar management), reviewing mail, preparing reports, scheduling meetings, organizing calendars and coordinating travel arrangements for the Executive Directors
- Developing and maintaining effective record keeping, filing systems and required documentation to assist with mandates
- Ensuring a high degree of confidentiality, discretion and professionalism is maintained in the department consistent with BCF standards and values
- Performing comprehensive office management and administrative support services as required, including tracking and processing of any expenses, purchase orders or financial contracts
- Handling general People & Safety inquiries
- Providing support to maintain strong document management control within the Sharepoint filing system
- Providing support on Travel Pass administration, including coordinating incidents of misuse
- Mail management, including tracking registered mail, distribution and maintaining the fax machine
- Supporting project work and events for other People & Safety teams as needed
What you bring to the team
You bring a wide breadth of experience as an administrative professional with a certificate or diploma in Business / Office Administration or other relevant education.
You have a minimum of 3 years’ experience as an Administrative Assistant. You have advanced working knowledge of general office systems and procedures specifically MS Office 365 suite of applications.
You are a highly organized self-starter with excellent judgement, integrity and a passionate commitment to customer service.

Additional information
The target salary range : $48,000 - $60,000 per annum. The starting salary is determined based on the successful candidate’s knowledge, experience and internal equity.
Starting salary may exceed the target range on exceptional basis.
