Job Description

We are currently seeking a qualified Document Controller to join our team, based out of  Toronto, ON . The Document Controller will be responsible for ensuring the Project Company (PCo) adhere to the overarching Document Management procedures and will work with the Integrated Project Team (IPT) for the Ontario Line Subway project in Toronto, Ontario. The project scope includes the design build, operations and maintenance of all infrastructure and rail systems associated with 15 stations and over 15km of new alignment, being performed by two key PPP Contractors and multiple advanced early works (EAW) packages Contractors and two large Progressive Design Build Contracts. The scope includes both managing the Works associated with the program and with the individual construction projects. Duties & Responsibilities :

  • Ensure the PCo adhere to the overarching Document Management procedures
  • Process all incoming and outgoing documents from PCo in a timely manner
  • Perform prescribed Quality Assurance & Check (QA / QC) on all submissions
  • Interface with internal and external customers on a routine basis in the resolution of questions or problems
  • Circulate documents for review according to review process indicated in the PA
  • Conduct periodic audits of PCo submissions and communicate overdue submissions
  • Conduct Bi-Weekly Meeting with PCo Document Management Team to ensure compliance to Review Register per the PA
  • Assemble information, such as status reports, for supervisor, other departments, or project personnel

Qualifications

  • Minimum of 5 Years’ Document Management experience with large projects in an EDMS environment.
  • Experienced with document control and associated work processes
  • Knowledge of technical vocabularies and terminology common to the assignment
  • Function well in a fast-paced environment and deal with pressure in a professional manner
  • Familiarity with and experience using document control software such as SharePoint, Aconex and ProjectWise.
  • Able to work independently with minimal day-to-day direction, and to exercise individual initiative, discretion, diplomacy, and judgment
  • Possess a high degree of flexibility, have strong interpersonal skills and proven record as a team player
  • Good organizational skills
  • Effectively deal with and adjust quickly to changing priorities
