Legal Assistant
My client, a large reputable, full-service law firm is seeking a Legal Assistant to support the Family Law legal team in their Toronto, Ontario office.
The ideal candidate will have over five years of experience working in a similar position. The primary duty is supporting two partners with their administrative and legal work.
This is a Hybrid position and currently requires a minimum of 2 days in office per week or as required.
Primary Responsibilities :
- answering the phone, handling cold calls and potential client screenings
- scheduling appointments
- opening and closing files, conducting conflict searches
- organizing retainer and privacy documents
- organizing files, both paper and electronic, and saving emails and attachments in accordance with internal naming conventions
- maintaining the lawyers’ calendars and an effective bring forward system
- preparing accounts, depositing cash receipts, and paying invoices
- drafting correspondence to clients and lawyers with reliable follow-up
- setting up teleconferences, case conferences, and settlement conferences
- issuing Orders and liasing with the Court
- updating Continuing Records and Motion Records (or Caselines as applicable)
- serving and filing all documents in connection with Family Court proceedings
- Assist law clerks with various day-to-day duties, where necessary
Qualifications :
- at least five (5) years of experience as a Family Law Legal Assistant
- experience with DivorceMate
- familiarity with Caselines
- experience with systems including a Document Management System, and the Microsoft Office Suite, including Excel
- deep familiarity with The Family Law Rules and local Practice Directions
- a keen attention to detail and strong organization skills
- a strong work ethic
- the ability to work affectively on a team and individually
- excellent communication skills
- experience with technology and working in a remote / hybrid environment
