The Office of the Registrar at SAIT is an essential part of the student journey, the front line of student support from admissions to convocation.

The Opportunity Reporting to the Manager, Systems and Reporting, Data Integrity Specialists are a critical role within the Office of the Registrar and the institution.

Data Integrity Specialists have a varied portfolio that stretches from student data reporting to the Government of Alberta (in collaboration with SAIT’s Data Governance Office (DGO) and Business Intelligence & Analytics team (BI&A)), to enhancing the institutional reputation through supporting a smooth registration experience, and serving as internal SME’s on a variety of student administrative initiatives (transfer credit, study abroad, program development, etc.

Data Integrity Specialists utilize their deep knowledge of program offerings at SAIT to collaborate with OTR, Academic Divisions, Finance, and Commercial Services to support effective administration of registration, tuition and fees, and ensure a positive student experience.

The incumbent understands the student (and student data and student record) journey from admission to graduation, proactively identifies process issues and works to develop and implement efficient solutions.

Data Integrity Specialists identify trends in data quality issues and demonstrate leadership through outreach and coaching of individuals within the OTR and across campus to educate on correct procedures, leading to improved data outcomes.

The Role

  • Student Record data quality analysis / reporting - 50%
  • Under the guidance of Manager, Systems and Reporting, this role
  • Oversees governance of data elements, and directly accountable for the accuracy and integrity of the data structure that support enrolment management and seamless learner progression.
  • Responsible and key contributor in work required to ensure student data quality in SAIT’s annual Government of Alberta reporting
  • Key contributor in completing the annual LERS and ASI submissions an institutional reporting requirement to inform SAIT’s annual government funding allocations (FLEs)
  • Collaborates with BI&A and DGO in ongoing error reporting monitoring / management (Ataccama tool), including supporting the growth of the tool to manage student data quality dimensions
  • Identifies trends in student record data quality issues
  • Investigates and resolves complex errors in student record data which impact ability to register, progress, meet graduation requirements, etc.
  • Proactively addresses data quality issues with stakeholders (OTR and beyond); seek to stop data errors before they occur and prevent future cleanup
  • Understand and communicate the importance of data quality and alignment as it pertains to student progression and reporting (institutional and governmental)
  • Supports continuous improvement of OTR operations through active monitoring of student data via error reporting
  • Suggests and support innovative solutions for auditing and student data cleanup
  • Registration and Program Support - 25%
  • Block rule requests / entry collaboration between OTR and the Academic Units and a critical piece of the annual student cycle
  • Develop and maintain deep understanding of program progression across SAIT and share this knowledge as needed to support OTR operations, ITS, Academic Units, and Finance
  • This role above all else understands how the interplay of student record, program setup, and course / block configuration impact the student experience
  • Ongoing outreach and education to Academic community (Academic Chairs, Associate Deans, Program Advisors) on block registration configuration and how that is translated to the student experience
  • Lead block / registration testing (OTR and Finance collaborations); critical function that mitigates registration issues by identifying incompatible block and cohort scenarios, assessment of fees, etc.
  • Term-by-term fee table testing as a part of block / registration testing, utilizing program knowledge to ensure that fee rules are built correctly (high impact to student financial account)
  • Escalated (tier III) support for registration issues create, monitor, and update registration error tracking tools used by Program Advisors and OTR front line staff
  • Responsible to urgently investigate, review, and resolve block code-related registration issues, collaborating between Program Advisors, OTR front line staff
  • Develop and update Current Registration Issues FreshDesk article (a resource for all campus community on registration issues during main registration periods)
  • Operational Process Review & Enhancements - 15%
  • Makes recommendations for process and system improvements to ensure data integrity and continually improve database function and processes.
  • Through expert knowledge of student data quality issues and their impact to the student experience, identify opportunities for process enhancement (OTR and non-OTR stakeholders)
  • Design, test, and implement solutions (mostly process but may also involve systems) to positively impact student record quality
  • Within OTR, collaborate with Business Analyst team, Communications Coordinator, Service Excellence Specialist, and other portfolio stakeholders as needed to proactively address data quality issues and develop innovative, sustainable solutions
  • Act as functional consultants (expertise in student data and program progression) in larger OTR initiatives to improve student data quality and the student experience
  • As needed, support ITS and Institutional Projects as student data and OTR process SMEs
  • Data Governance Office (DGO) activities - 10%
  • Participate in DGO committees as experts in the student record and program progression
  • Liaise between DGO committees and OTR leadership to deliver information and recommendation from DGO initiatives
  • Utilize and support expansion of Ataccama data quality tool
  • Recommend changes to Banner configurations and forms that support data quality initiatives and create efficiencies across campus

Qualifications & Experience

  • Bachelor’s degree in a relevant field.
  • Minimum five years of relevant experience in supporting data quality issues and Customer Service. Registrarial Advising experience is an asset.
  • Software experience : Banner 9, communication management software (Mailchimp, Constant Contact), advanced MS Office skills (including excel)
  • Incumbent must complete mandatory Advanced Excel Training (offered by SAIT) within the first year of appointment in the role.

  • Experience in sourcing and producing creative and effective content, including visual intelligence
