KPMG Toronto is currently looking for a Practice Coordinator to provide strategic administrative support to the National Marketing & Communications (NMC) business unit.

This includes supporting the Chief Marketing Officer (CMO) & Managing Director of Corporate Affairs, to facilitate day-to-day efficiencies, ensure business unit requirements are met, and optimize the leaders' time.

The Practice Coordinator is the ambassador for NMC, interacting with virtually every individual on our national team and regularly collaborating with other BES groups and colleagues.

The PC brings operational effectiveness to life to enable our teams to work efficiently. The PC is a highly organized, detail-oriented individual, who applies a client-service approach to every aspect of work.

They will gain an understanding of our key objectives and priorities and be able to apply that knowledge to their work and support of the group and its leaders.

The ideal start date for this role is September 2024.

What you will do

NMC Practice Coordination :

  • Act as an NMC ambassador to support in maintaining the environment and culture to sustain our high-performing and highly engaged team.
  • Executive support of NMC Leadership.
  • Own the NMC internal operational databases to ensure that information is current and available to stakeholders. Develop and maintain databases, document management support, as well as other reporting support, as required.
  • Project & team meeting logistic facilitation, including supporting pre- and post-work, tracking action items and collaboration with presenters to develop and distribute collateral materials.
  • Become the guru for operational processes in the group to be able to answer the question "how do I ...?"
  • Manage and update communication and data channels for NMC, including Teams sites, server structures, functional mailboxes, distribution lists.
  • Provide billing support for the group, including managing invoice processing & and coding, and liaise with Finance to ensure proper allocation of expenses.
  • Special projects on behalf of NMC or the CMO / CA team, as needed.
  • Other tasks for NMC or the CMO / CA team when needed.

CMO / MD Support :

Develop an understanding of CMO / MD priorities and reflect through administration services and support.

Provide executive-level administrative support, including :

  • Strategic and proactive calendar management.
  • Coordination of key CMCO projects and team meetings and connections.
  • Timely submission of time and expense reporting.
  • Coordinate travel bookings.
  • Collaborate regularly with the CMCO team to deliver operational and administrative excellence.
  • Other administrative support as requested.

People Leader & Develop Leader Administrator Support :

  • Own the onboarding experience of all NMC team members, according to KPMG's onboarding experience (KNOX) and NMC requirements.
  • Support and liaise with HR to execute employee transactional activities, including employment changes, new hires, office space coordination, maintenance of internal FTE Database.
  • Provide administrative support for HR tasks as required to support operational effectiveness of NMC as a business unit : logistic facilitation of meetings, learning events and celebrations.
  • Support annual HR requirements and processes, including revolving pay planning, rewards & recognition, performance management programs while maintaining high confidentiality.

What you bring to the role

  • College diploma or an equivalent combination of education / experience in administrative assistant skill set.
  • 5 to 8 years of experience in an administrative role, with 3 to 5 years in a senior administrative role
  • Excellent written and oral communication skills
  • Advanced skills in Microsoft PowerPoint, Excel and MS Word
  • Trustworthiness to work competently with highly confidential information.
  • Exceptional organizational & prioritization skills, with a side of project management ability

This position requires written and oral fluency in English. The successful candidate may be required to support or collaborate with English-speaking colleagues or stakeholders while at KPMG.

The successful candidate may be required to create, interpret and / or apply policies, practices, laws and and / or regulations during the regular course of their employment.

KPMG BC Region Pay Range Information

The expected base salary range for this position is $53,000 to $79,500 and may be eligible for bonus awards. The determination of an applicant's base salary within this range is based on the individual's location, skills, & competencies, and unique qualifications.
