The Opportunity
Working under the direction of the Project Co-Managers, the Program Coordinator is responsible for all administrative duties related to the Surrey Local Immigration Partnership (LIP).
This position provides program, operations, communications, and administrative support and coordination of a variety of initiatives and projects.
This role will assist in maintaining resources and supporting communication for a Community of Practice among the stakeholders, the Surrey Youth Newcomer Council and will assist the Project Managers in all aspects of the program.
Additionally, the incumbent in this position may travel to various community events to gather and deliver program information on some evenings and weekends.
Key Responsibilities
- Assist the Project Manager with all the project deliverables to ensure that the project meets and exceeds the set targets.
- Supports management in the compilation of reporting for various funders and programs within the department
- Supports updates to data collection systems such as excel tally sheets.
- Oversees the day-to-day operation of the program by coordinating necessary facilities (office space sharing, virtual platforms) and equipment (office supplies & resource manuals)
- Provides support and input for program guidelines and policies (such as mandatory training attendance), program standards, and licensing requirements.
- Maintains related records and statistics for input to the quarterly reports (such as PQI and funder reports) for submission to the Manager
- In consultation with the Manager, coordinates monthly program meetings
- Supports with the invoicing and reconciliation of program expenses
- Represents the organization or program in external meetings / events where necessary.
- Shares and collects mutually relevant information with internal departments and community partners; Facilitates referrals to the program
- Promotes public awareness of and support for the program using promotional materials, conducting marketing campaigns, and attending community events.
- Researches and compiles a comprehensive database of community resources networks.
- Provides input for program capacity building.
- Makes recommendations to the Manager regarding program development, policy and procedure formulation, and program evaluation.
- Completes all other related tasks as assigned by the Manager.
Qualified candidates will possess :
- A minimum 2 -year Post Secondary Diploma in community development, Communications, human / social service, or related field.
- Two years of recent related experience; or an equivalent combination of education, training & experience Program / Project Coordination or an equivalent combination of education, training, and experience.
- Experience in community outreach and event planning
- Experience working with a diverse community and knowledge of the settlement sector.
- Excellent written and spoken English.
- A high level of comfort in facilitating and presenting in public forums and workshops
- Sound knowledge of community resources and ability to network and build partnerships.
- Demonstrated ability to work successfully and cooperatively on interagency project initiatives.
- Ability to develop promotional materials, e-newsletters, and fact sheets.
- Excellent organizational and time management skills.
- Ability to work with minimal supervision and meet deadlines.
- Proficient in the use of Microsoft Office products, at a high proficiency level and using these tools to retrieve and maintain information in an organized and efficient manner.
- Demonstrated experience with WordPress and Mail Chimp considered an asset.
- Bilingual English / French is a definite asset, knowledge of other languages is strongly preferred This position requires union membership.
