Description

The Community Outreach Coordinator is responsible for coordinating and overseeing outreach programs including intake clients and Community Meal Program(s) and special events planned in conjunction with other Community & Family Services programs, partners or collaborators as assigned.

Planning, implamenting and supervision will include relevant staff or volunteers, as well as the development and maintenance of community contacts, partners, and collaborators.

The Community Outreach Coordinator will actively work to keep volunteers informed and up to date regarding area services as well as aiding in their development as allies for program participants.

Accountabilities :

  • Operations / Programming
  • Actively promote a positive environment across all programs, ensuring all individuals (volunteers and participants) are treated with dignity, courtesy, and respect.
  • Ensure the ministry objectives are consistently accomplished and that a spiritual focus is applied to all program initiatives.
  • Ensure that all duties are completed in accordance with the principles, standards, policies, and procedures of The Salvation Army.
  • Assit the Corps Officer with ongoing strategic planning to ensure programming reflects client need as these may evolve in our changing socioeconomic climate.
  • Work with the Corps Officer to ensure that programs (including program reviews, inspections, and audits) meet contractual, legal, and internal requirements.
  • Conduct client intakes, assessing theirs needs and determining how we can best assist them.
  • Develop and maintain a good understanding of services provided by external agencies.
  • Network with Salvation Army, government, and community social services providers to coordinate resources for the benefit of clients and program.
  • Represent Community Ministries within the community, as directed.
  • Oversee, implement, and coordinate Feeding program based on the local catchment area needs; ensure volunteer safety, and adherence to all health and safety standards.
  • Build and maintain relationships with local businesses as potential vendors / donors.
  • Coordinate and give oversight to and specific community outreach ministries programs, i.e., life skills classes. Feeding after school program, Easter outreach, Christmas hampers and any other outreach
  • Recruit and register children / youth for Salvation Army regional camping programs; assist with transportation to and from programs.
  • Follow up with children / youth including their families, to build relationships and establish active links with the Corps and its mission and ministries.
  • Actively promote Montreal Ciatdel Outreach Ministry programs within the community.
  • As appropriate, link clients to the church family and church programs wherever possible.
  • Research and develop materials necessary to supplement the curriculum for the community ministries programming.
  • Create engaging activities for the clients to participate in, develop relationships and assess community needs and review client feedback in order to determine potential alternate programing and develop a strategy for the implementation of such programs.
  • Coordinate the annual Christmas Kettle Campaign.
  • Ensure that all equipment on the vehicle functions properly and that key local personnel are trained and knowledgeable in using each piece of equipment.
  • Volunteer & Student Coordination
  • Support, assist, train, and demonstrate work methods and ensure that volunteers across all programs work together to achieve the purpose of the organization and enhance the ministries of The Salvation Army.
  • Develop strategies and recommendations for staff and volunteer development.
  • Responsible for preparing volunteer work schedules.
  • Ensure that all volunteers maintain any mandatory training or certification; identify any training needs and reports to the Corps Officer.
  • Ensure that outreach programming is adequately staffed with volunteers who are trained and vetted as required.
  • When applicable ensure that all processes and expectations outlined in the Student Placement Policy are followed.
  • Recruit local volunteers and provide oversight, guidance, coaching, and direction to volunteers.
  • Ensure that volunteer documentation, training, and certifications are up to date.
  • Coordinate and schedule volunteers assisting with menu planning (and costing), food preparation, food distribution.
  • Finance / Administration
  • Maintain accurate attendance records of guests and volunteers and confirm appropriate volunteer coverage.
  • Maintain a log of meals, purchases, service numbers and any occurrences.
  • Compile and maintain accurate data related to funding.
  • Adhere to purchasing budgets and purchase necessary product for meal preparation and program services under your care.
  • Complete all paperwork including but not limited to incident reports, referral reports, consent forms, occurrence logs etc.

ensuring that a copy is kept secured, on site for the program and a copy is provided to the Community & Family Services Manager.

  • Maintain appropriate reporting binders and record any distribution of donated items.
  • Notify supervisor in need of repairs in a timely manner.
  • Assist the Community & Family Services Manager with ongoing strategic planning and policies and procedures to ensure programming continues to reflect client needs as they evolve.
  • Health and Safety
  • Ensure that doors and any passageways are monitored regularly during the programming : that all guests identify themselves upon entering the building and that entry / exit are recorded.
  • Ensure that the outreach program has appropriate supervision by the correct staff / volunteer to guest ratio; communicate expectations to all new guests or recipients.
  • Ensure that Community Meal Programming meets health and safety standards, and that staff and volunteers maintain appropriate training.
  • Ensure cleaning and maintenance of program space, showers, laundry equipment and other requirements across all programs.
  • Conduct and log security checks in and around the premises providing copies to the manager monthly.
  • Responsible for abiding by The Salvation Army’s Health & Safety Policies and Procedures and work in compliance with the Quebec Health & Safety Act and Regulations, use personal prescribed safety equipment and clothing as directed by the employer, report workplace hazards, dangers, injuries or illness, work in a manner as required by the employer, and report workplace injuries or illness.

KEY RESPONSIBILITIES :

CRITICAL RELATIONSHIP MANAGEMENT

Internal :

  • Community & Family Services intake, Corps officer, volunteers, staff.
  • Attend and participate in individual, team, and broader ministry unit meetings.

External :

Program guests, community (donors, participants, community agencies), vendors (suppliers) and Government offices

MANAGERIAL / Technical Leadership RESPONSIBILITY :

  • This position reports directly to the Community & Family Services Officer.
  • Direct reports : none.
  • The incumbent is responsible to provide supervision of 3 to 12 volunteers, which may fluctuate from day to day and week to week within established guidelines.

FINANCIAL AND MATERIALS MANAGEMENT :

  • Minor material responsibilities : access to personal information, proper storage and usage of food

WORKING CONDITIONS :

  • This is a permanent full-time position based on 37.5 hours per week
  • The working environment is typically in multiple work locations. This will include working at the church location, as well as an off-site program location.

work in a standing position for long periods of time

  • Travel is associated with this position 5 to 10% ; required to use a Salvation Army program vehicle when available.
  • Normal hours of work : 9 : 00 a.m.-4 : 30 p.m.Monday to Friday- flex hours on for special programming. Schedule may vary according to requirements of responsibilities some weekend and evening work may be required;

flexibility is required as it relates to hours of work.

QUALIFICATIONS AND EDUCATION REQUIREMENTS :

  • Completion of post-secondary certificate program in Social Work, i.e., Social Services or Human Services of at least 1 academic year
  • A diploma is preferred.
  • A working knowledge of mental health and addiction issues.
  • Alternative combinations of education and experience may be considered.

PREFERRED SKILLS / CAPABILITIES :

  • Minimum of two (2) years of prior related experience, including experience working with multi-barriered persons, individuals with mental health and addiction issues and a variety of social service programs.
  • Some supervisory experience with the ability to motivate, instruct and coordinate volunteers.
  • Experience in meal planning within a budget appreciated.
  • Some experience with community programming in a church setting would be an asset.
  • Valid Quebec Class 5 Driver’s License, personal vehicle and insurance is required, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Possess knowledge and understanding of local resources for Mental Health and Addictions services, housing, income support and other support systems in Perth County.
  • Proficient in working in a computerized environment; must demonstrate strong skills using Microsoft Office Suite : Word, Excel, and Power Point, TEAMS, outlook.
