Title : Project planning and communications coordinator

Salary : 35.00$ an hour / 37.5 hours a week

Status : 12 month contract with a possibility of permanency

Location : Montreal, QC

Responsibilities :

Promote digitalization with a focus on increasing productivity of the teams across the Division

Responsible for updating BCP documentation and distributing it to key personnel

Work in partnership with internal IT group for consistent execution of BCP

Implement all or part of the plans and procedures to ensure business continuity

Collaborate on various Division projects such as : Microsoft 365, intranet, and office services

Assist in coordinating resources for various projects

Act as a liaison between appropriate departments and the IT team

assist in identifying and supporting the development and implementation of new tools and data

management

organize related learning sessions focusing on the user experience for various teams across the Division

Identify and support the development and implementation of new types of tools and data management for various teams across the Division including creating and updating instructions and documentation

Document and perform research to develop and / or update different processes

Write a variety of different content to support internal and external communications

Collaborate in the production, coordination, and translation of various internal and external communications

Assist the Communications team in developing and implementing a communications strategy designed to further company objectives

Monitor analytics and create reports detailing the successes and failures of various projects

Stay up to date on industry trends and make recommendations for adjustments to processes and practices

Requirements :

DEC in office automation or the equivalent

Minimum of five years of relevant experience

Advanced experience with Microsoft 365 tools and apps, and established software

Advanced presentation design skills

Good knowledge in social media

Responsabilités :

Faire la promotion de la numérisation, en portant une attention spéciale à l’augmentation de la productivité des équipes au sein de la Division

Responsable de la mise à jour de la documentation BCP et de sa distribution au personnel clé

Travailler en partenariat avec le groupe TI interne afin d’assurer l’exécution cohérente du BCP

Mettre en œuvre les plans et les procédures, en totalité ou partiellement, afin d’assurer la continuité des affaires et présenter des rapports d’activités à la liaison exécutive au besoin

Collaborer à divers projets de la Division, comme Microsoft 365, l’intranet et les services de bureau

Aider à coordonner les ressources pour divers projets

Assurer la liaison entre les départements concernés et l’équipe TI :

aider à la recherche de nouveaux outils et d’initiatives de gestion des données et contribuer à leur développement et à leur mise en œuvre

organiser des séances d’apprentissage axées sur l’expérience usager pour diverses équipes au sein de la Division

Trouver de nouveaux types d’outils et d’initiatives de gestion des données pour diverses équipes au sein de la Division, y compris la création et la mise à jour d’instructions et de documentation

Documenter et effectuer des recherches pour développer et / ou mettre à jour différents processus

Rédiger une variété de contenus différents pour soutenir les communications internes et externes

Collaborer à la production, à la coordination et à la traduction de diverses communications internes et externes

Aider l’équipe Communications dans l’élaboration et la mise en œuvre d’une stratégie de communications visant à promouvoir les objectifs de l’entreprise

Effectuer le suivi des analyses et créer des rapports détaillant les succès et les échecs de divers projets

Rester à jour sur les tendances de l’industrie et faire des recommandations pour ajuster les processus et les pratiques

Exigences :

Diplôme d’études collégiales en bureautique ou l’équivalent

Un minimum de cinq ans d’expérience pertinente

Expertise approfondie des outils et des applications Microsoft 365 et des logiciels établis

Compétences avancées en matière de conception de présentations

Bonne connaissance des médias sociaux
