As a result of the COVID-19 pandemic and the need to strengthen and promote health protection to patients, staff and members of the public attending in the hospital, prior to the first day of employment with the Hospital, all successful candidates are required to provide proof of COVID-19 vaccination (full vaccination is required) from the Ontario Ministry of Health website or other authorized source.

An individual is fully vaccinated if they have provided proof of vaccination in the form of a receipt from COVaxON (the Ministry’s provincial system for COVID-19 vaccination information) and 14 days have elapsed from the final dose.

In the event that you are unable to be vaccinated as a result of a ground protected under the Human Rights Code, you may submit a written explanation of the ground and any supporting documentation to determine if you are exempt from this requirement.

Position Summary

Unit Secretary, Critical Care Unit CrCU

Your goal in this position is to perform administrative, secretarial and receptionist support for the Critical Care Unit in a confidential, sensitive and professional manner.

You have effective written and spoken communication skills, use your critical thinking and problem solving skills, and embrace the challenge of prioritizing work demands in a fast paced and stressful environment.

This position supports the hospital’s academic mandate by advancing care through teaching and learning and / or transforming care through research and innovation.

This position contributes to the shared responsibility of ensuring health and safety policies are followed to provide for a healthy environment for patients, families, physicians, staff and volunteers.

On a practical level, you will

  • Support and adhere to Hospital policies and procedures
  • Use customer service principles when interacting / communicating with patients, families, staff internal and external parties
  • Coordinate various interdepartmental activities and requests such as transportation of patients for tests, scheduling of appointments, discharges and other services required on the unit
  • Represent physicians and health care professionals (i.e., nurses, allied health) by screening and triaging incoming telephone calls and inquiries;

recording and transmitting messages; scheduling, receiving patients and visitors; co-ordinating referrals to other health care providers

  • Assume responsibility for identification and advancement of issues and concerns with the Clinical Team Manager in a time sensitive manner
  • Compile and disseminate material / documents related to Program activity
  • Maintain attendance / time reporting information and arranges appropriate relief. Inputs payroll, and keeps record of changes in schedules
  • Process computer provider order entries within scope of practice notifies appropriate staff, and specific departments as required
  • Support clinicians with system order entry functions, such as scheduling outpatient cardioversions
  • Maintain organization of admissions, discharges, dismantles charts and enters information electronically as required
  • Prepare reports, photocopying, prioritizing and processing of information as required
  • Maintains supply inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt

Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent
  • A medical office assistant certificate or minimum one-year comparable office experience with medical orientation
  • Working knowledge of medical terminology and ability to perform medical transcription
  • Proficiency in Microsoft Office including; Word, Excel and PowerPoint, for data collection, inputting payroll, scheduling changes and assistance to leadership
  • Accurate minimum typing speed of 45 w.p.m
  • Experience dealing with the public in a fast paced and customer service environment
  • Experience on an inpatient unit preferred
  • Demonstrated commitment to patient / client centred care
  • Ability to multitask and prioritize
  • Bilingualism in French / English an asset

This is a Full Time Permanent position with 8 hour day and evening shifts, including weekends in the Critical Care Unit (CrCU).
