Recochem is seeking an experienced and highly organized Executive Assistant to provide comprehensive support. The ideal candidate will be proactive, detail-oriented, and capable of managing a diverse set of responsibilities in a fast-paced environment.

Reporting to the CEO, the Executive Assistant will support his daily activities with strong clerical skills.

This position will be based in Toronto.

Job Responsibilities :

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Coordinate and manage executive-level meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Act as the point of contact between the CEO and executives, internal / external stakeholders.
  • Handle confidential information with discretion and ensure the integrity of sensitive data.
  • Organize and maintain files and records, both electronic and physical.
  • Conduct research and compile data for reports and special projects as required.
  • Assist with budget tracking, expense reporting, and invoice processing.
  • Support the CEO in the planning and execution of strategic projects.
  • Provide logistical support for company events, conferences, and other special activities.
  • Draft, review, and send communications on behalf of the CEO.
  • Facilitate effective communication within the executive team and across the organization.
  • Manage incoming and outgoing communications, including phone calls, emails, and mail.
  • Build and maintain positive working relationships with internal and external stakeholders.
  • Represent the executive office in a professional and courteous manner.

Qualifications :

  • Bachelor’s degree in business administration, Management, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably in a corporate environment.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Proficient with Power BI and basic data analysis
  • High level of professionalism, integrity, and confidentiality.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
