As a Purchasing Coordinator, you will support the sourcing, purchasing, and expediting of essential materials, equipment, products, and services required by the Matheson Group of Companies. Reporting to the Manager, Procurement, Fleet & Facilities, you will work closely with the Fleet & Facilities Team, Operations, and suppliers to ensure teams have the necessary tools, materials, and components to effectively achieve their objectives.
Key Responsibilities
Procurement & Sourcing
- Prepare and process purchase orders in accordance with company policies and procedures.
- Source products, materials, equipment, and services from approved suppliers.
- Obtain and evaluate vendor quotations, pricing, and terms.
- Negotiate pricing, delivery schedules, and service agreements where appropriate.
- Ensure purchase requests are approved and processed in a timely manner.
Vendor Management
- Establish and maintain positive relationships with suppliers and vendors.
- Monitor supplier performance related to quality, delivery, and service levels.
- Address and resolve purchasing, invoicing, and delivery discrepancies.
- Maintain accurate supplier records and documentation.
Inventory & Materials Management
- Monitor inventory levels and coordinate replenishment activities.
- Track stock requirements and communicate shortages or delays to relevant stakeholders.
- Assist with inventory counts and reconciliation activities.
- Coordinate with warehouse and operations teams to ensure product availability.
Administrative Support
- Maintain accurate purchasing records, contracts, and files.
- Track orders and follow up on outstanding deliveries.
- Verify purchase orders, invoices, and receiving documentation for accuracy.
- Prepare procurement reports and purchasing metrics as required.
- Ensure compliance with company policies, budgets, and procurement procedures.
Educational & Professional Requirements
- Post-secondary education in Business, Logistics, Supply Chain, or a related field.
- 2+ years of experience in purchasing, maintenance, contract management, logistics, or a related field.
- Purchasing or Supply Chain certification is considered an asset.
- Experience with inventory control procedures and best practices is considered an asset.
- Well-developed computer skills, particularly in Microsoft Excel.
- Construction industry experience is considered an asset.
Working Conditions
- Travel may be required.
- Valid G Driver's License required.
- Access to a reliable vehicle.
- Ability to attend and conduct presentations.
- Ability to work effectively in high-pressure situations.
- Manual dexterity is required to use desktop computers and peripherals.
- Overtime may be required.
