Starting Salary: $55,000-60,000/annum
The Opportunity:
The Inventory & Traffic Coordinator position functions as the customer's primary point of contact and takes ownership of order processing, inventory, addresses service issues and handles reporting. Provides administrative support to Hamilton Operations.
Responsibilities:
Customer Service
- Provides single point of contact to customer for order processing for all modes of transportation, land, marine and pipeline; handles paperwork involved; updates appropriate systems and databases.
- Handles order processing for product.
- Provide and update information for terminal planning process.
- Handles quality documentation, research and reporting for any non-compliance issues.
- Schedules railcars and trucks as necessary.
- Check if confirmed service has the right terms and conditions accarding to the contract before create invoice.
- Performs simple inventory functions; monitors inventory levels; send reports.
- Prepares special reports as requested; handles special projects requested by customer.
- Maintains and files completed orders; verifies and acts upon deviations for completed orders; performs basic research; reports on findings; generates order correction requests.
- Monitors truck shipments; acts on deviations including late arrivals or those that do not arrive.
- Maintains customer rail car fleets used for product movement in or out of Company facilities.
- Trains regularly on all concerning guidelines, regulations and requirements (customs, environment, etc.).
- Participates in the daily Operations meeting as requested.
- Attends meetings with customers.
- Participates in improvement projects.
- Maintains internal and external reports; monitors accuracy.
- Generates billing for overtime charges on tank truck and tank car storage.
- Maintains sales database/order database system; creates order templates.
- Trains new Customer Service Representatives as requested.
- Functions as a team member with other Customer Service Representatives.
- Performs other duties assigned by management that fall within the generally expected scope of this position.
Dispatching
- Manages servicing of customer trucks; coordinates between Customer Service and Operations.
- Screens trucks in accordance with regulations and requirements; keeps daily log.
- Contacts carriers; verifies drivers’ authorizations, licenses, employment, government documents and registrations, etc.; records all drivers entering property in appropriate log.
- Catculates trailer load according to customer order; sends appropriate calculations to loading stations; issues work instructions to drivers.
- Dispatches trucks based on schedule; ensures schedules trucks are loaded on schedule.
- Investigates delays in loading/unloading of trucks; notifies Customer Service; completes non-conformance report.
- Prepares shipping documentation for drivers; ensures accuracy of information; notifies Customer Service of any discrepancies before truck leaves terminal.
- Posts arrival and departure information in sales database.
Administration
- Creates and maintain files as required.
- Maintains office equipment: keeps files and databases on equipment; completes requisitions for new equipment as necessary; schedules equipment repairs; acts as contact person for office equipment needs/repairs; handles cell phones including invoice for assigned personnel.
- Handles all general office work including, but not limited to, copying, filing, faxing, administrative assistance, etc.; handles conference room reservations.
- Places orders for supplies; processes invoices from supply vendors.
- Handles invoices and billing as necessary; inputs requisitions; receives purchase orders for administrative needs.
- Local focal point for Human Resources and communications.
- Assists with monthly, quarterly, and annual reporting; maintains records and documentation for assigned departments.
- Assists with local event planning.
- Participates in special projects and initiatives as assigned.
- Assists as required with preparation of Budget.
- Ensures company vehicle records are accurate and current.
- Understands and follows applicable government guidelines and requirements, expedites important papers to appropriate parties; stays current on regulations that affect work.
- Opens, date stamps, and distributes mail; delivers faxes; handles incoming and outgoing certified mail.
- Schedules and coordinates travel arrangements as requested.
- Performs other duties assigned by management that fall within the generally expected scope of this position.
Education:
- High School Diploma.
- College courses in Business, Finance, or related field is an asset.
Requirements:
- Minimum of 2 - 4 years of experience in customer service and general office work at industrial plants; accounting or administrative background helpful.
- Ability to prioritize work; multi-tasking skills; able to keep attention to detail even under stressful situations, Analytical.
- Customer service focus; ability to deal with diverse personalities; negotiation and conflict resolution skills.
- Excellent English communications skills including ability to read, write, and speak fluently; ability to communicate with transportation workers and co-workers; ability to read and apply strapping tables.
- Solid computer skills including Microsoft Office Suite, various email and internet programs and applications, financial software programs (desirable), sales/order database systems, billing systems, customers’ systems as applicable.
- Ability to work 5 days on site in Hamilton.
