Overview / Scope
The contractor will provide expert advisory services, hands‑on solution support, and implementation oversight to help modernize Microsoft 365, SharePoint Online, Power Platform, and Information Management (IM) capabilities. This role will support the adoption of modern collaboration tools, the automation of business processes, and the development of an enterprise Information Management SharePoint Hub designed to improve service delivery using a client‑service lens, with a focus on usability, clarity, scalability, and long‑term sustainability.
Key Responsibilities
- Microsoft 365 Advisory & Strategy
- Providing expert guidance on Microsoft 365 capabilities, governance models, and adoption best practices.
- Conducting needs assessments and recommending modern collaboration and automation solutions.
- Identifying gaps, inefficiencies, and opportunities for digital modernization.
- Developing implementation roadmaps aligned with enterprise and Government of Canada IM/IT standards.
- Developing IM and IA artefacts, including taxonomies, metadata models, content types, retention strategies, and governance frameworks.
- Creating SharePoint Hub IA design documentation, including user flows, content categorizations, and layout recommendations.
- Ensuring solutions support traceability, version control, transparency, and sustainability.
- SharePoint Online Migration & Modernization
- Planning and executing migrations from legacy SharePoint environments to SharePoint Online using ShareGate.
- Performing remediation activities, including metadata alignment, content type corrections, permission cleanup, and content rationalization.
- Completing post‑migration validation and reporting.
- SharePoint Online Hub – Planning, Build & Configuration
- Designing SharePoint Hub site architecture, navigation, governance, and site hierarchy.
- Building and configuring SharePoint Hub components such as pages, libraries, lists, workflows, and navigation.
- Developing reusable templates, document structures, and components.
- Implementing permissions and access controls following least‑privilege principles.
- Testing and validating solutions with representative end users.
- Process Modernization with Microsoft 365
- Identifying and recommending appropriate M365 tools (Power Automate, Power Apps, Dataverse, Planner, Lists, Loop).
- Designing and implementing digital workflows, forms, and process improvements.
- Ensuring auditability, role clarity, version control, and maintainability.
- Power Platform Development
- Designing, building, and maintaining Power Apps (Canvas and Model‑Driven).
- Developing automated workflows using Power Automate.
- Designing Dataverse solutions where appropriate.
- Copilot & AI‑Enabled Solutions
- Designing and building copilots and agents using Microsoft Copilot Studio.
- Integrating copilots with Microsoft 365 data sources while respecting governance and security constraints.
- Providing recommendations on responsible AI adoption, including guardrails and change impacts.
- Change Management, Documentation & Knowledge Transfer
- Developing user guides, configuration documentation, quick reference materials, and training content.
- Delivering demonstrations and knowledge transfer sessions.
- Supporting adoption and feedback cycles during rollout phases.
- Providing troubleshooting support during implementation.
- Project Management & Reporting
- Developing and maintaining delivery plans, including timelines, milestones, risks, dependencies, and deliverables.
- Participating in regular project meetings.
- Providing monthly status reports outlining progress, issues, decisions, and next steps.
Mandatory Requirements
- Must be fluent in English.
- Must hold an active Reliability Status clearance.
- Must be willing to work on‑site in Ottawa.
- Two (2) references required.
- Must have a minimum of five (5) years of experience within the last ten (10) years:
- Designing, developing, configuring, and supporting solutions using Microsoft Power Platform, including Power Apps and Power Automate.
- Providing Information Management architecture and advisory services, including metadata design, taxonomy development, and IM governance.
- Must have a minimum of three (3) years of experience within the last five (5) years performing SharePoint 2019 to SharePoint Online migrations using ShareGate.
- Must have a minimum of two (2) years of experience within the last three (3) years designing and building generative and orchestrated copilots and agents using Microsoft Copilot Studio.
