The role:
We are adding a problem-solving, responsive Store Administrator to our team in Ontario. In this role, you will help ensure our valued clients feel welcomed, supported, and taken care of, while playing an essential role behind the scenes supporting store operations, rentals, and financial administration.

How you will spend your days:
- Provide outstanding customer service. You will communicate with empathy and urgency, offering timely problem-solving and support. You will build a strong understanding of our clients and the therapist community to effectively prioritize and respond to their needs.
- Clerical financial coordination. You will answer phones, respond to emails, digitize and maintain records, process payments, prepare billings, manage bank deposits, and support accounts payable and accounts receivable, including invoicing and collections.
- Rentals administration. You will support the coordination, documentation, billing, and tracking of rental equipment, ensuring rental agreements and related paperwork are complete, accurate, and up to date.
- Collaboration. You will manage internal and external communications and build strong working relationships with sales, purchasing, service, and administrative teams, while also providing administrative support to other store locations as required.
- Store and process improvement. You will work closely with the team to drive efficiencies, ensure policies and procedures are followed, and contribute to improving business processes to support growing operational demands.
- Order and document management. You will take ownership of creating quotes, orders, invoices, and reports, ensuring timely and accurate processing. You will maintain client, rental, and inventory information in our Navision system, following up with clients to confirm all required documentation — including rental agreements, quotes, and registrations — is complete and accurate.
What you bring to the role:
- Experience. You have experience working in a fast-paced office or customer-facing environment and are comfortable managing competing priorities and deadlines. Experience supporting financial administration, rentals, or invoicing is an asset. You are proficient in Microsoft Office, particularly Excel, and comfortable learning new systems and software.
- Interpersonal skills. You enjoy building relationships and supporting people through thoughtful, solutions-focused communication. You are professional, adaptable, and comfortable responding to urgent inquiries by phone, email, or in person — sometimes all at once — while remaining friendly, empathetic, and compassionate.
- Additional must-have requirements. You have a clean criminal background check and are bondable.
