About the Position

Reporting to the Chief Financial Officer (CFO), the Departmental Business Coordinator plays a key role in supporting both the CFO and the Financial Services (FIN) Senior Leadership Team (SLT). This position combines executive assistant responsibilities to the CFO with departmental coordination and business operations support, ensuring that all day-to-day operations, governance logistics, and administrative processes enable the CFO, the Organizational Effectiveness Lead, and the department to operate efficiently and effectively.

Working closely with the CFO, SLT, and extended management team, the Departmental Business Coordinator plays a pivotal role in maintaining effective operational coordination, governance deliverables, communications, and operational routines.

The role focuses on the disciplined execution of governance processes, administrative operations, and coordination activities. It partners closely with the Organizational Effectiveness Lead, who leads strategic prioritization and departmental planning, to ensure seamless operational delivery and high-quality execution.
The role requires exceptional organizational skills, attention to detail, and a service-oriented approach to support the department’s strategic execution and operational needs.

What You Will Do

Executive and Governance Coordination

  • Manage the CFO’s calendar, priorities, and coordinate and assemble materials to ensure readiness for all internal and external engagements.
  • Coordinate, track, and ensure completeness and timeliness of briefing materials, presentations, and governance deliverables for Executive Council, Board, and Committee meetings, in alignment with priorities and content direction led by the Organizational Effectiveness Lead.
  • Liaise with the Board Secretariat (ELS), internal partners, and external stakeholders to ensure timely and accurate submission of materials.
  • Anticipate operational and logistical needs of the CFO’s office, managing incoming requests and coordinating inputs to support efficient decision-making processes.

Departmental Operations and Logistics

  • Oversee and continuously improve administrative processes, ensuring the department’s support activities operate efficiently and effectively.
  • Collaborate with the Business Support Analyst to ensure consistency, quality, and smooth operations across the department’s leadership offices.
  • Collaborate with the Organizational Effectiveness Lead and other partners to manage logistics for key departmental meetings and events, including scheduling, catering coordination, and documentation (e.g., capturing and circulating minutes).
  • Lead or participate in departmental initiatives related to process optimization, document management, and administrative innovation, including promoting new tools and practices.
  • Maintain and manage FIN departmental SharePoint access permissions, ensuring all access is granted and controlled strictly in line with confidentiality requirements and restrictions. Oversee filing systems to ensure compliance with Bank standards and departmental needs.
  • Support onboarding, offboarding, and other departmental HR and operational processes, identifying opportunities for improvement and escalating issues to management as required.
  • Maintain tracking systems for governance deliverables, decisions, and action items, ensuring visibility, follow-up, and timely completion in alignment with departmental priorities.

Collaboration, Communication, and Engagement

  • Serve as a liaison between FIN and other departments to clarify requirements, align deliverables, and ensure adherence to Bank governance and process standards.
  • Foster strong relationships within FIN and with partners across the Bank to support efficient collaboration and timely responses.
  • Support departmental work environment and engagement initiatives (e.g., employee recognition, wellness, and social events).
  • Manage travel arrangements and prepare expense claims for the CFO in compliance with Bank policies.
  • Coordinate group training registrations, managing logistics, scheduling, invoicing, and pre-session communications for participants.
  • Work in close partnership with the Organizational Effectiveness Lead to operationalize departmental priorities and ensure consistent execution of planning and management routines.

  • Strong analytical, planning, and problem-solving skills — able to synthesize information, identify key issues, and recommend effective solutions.
  • Excellent relationship management and communication skills, with a proven ability to collaborate effectively across multiple teams and all levels of the organization.
  • High degree of initiative, professionalism, and discretion, especially when handling sensitive or confidential information.
  • Strong organizational and anticipatory skills, able to think several steps ahead and proactively address operational needs.
  • Positive, “can-do” attitude with the confidence and flexibility to take ownership, adapt to change, and thrive in a fast-paced, evolving environment.
  • Demonstrates maturity, tact, and composure under pressure, and represents the CFO’s office with professionalism, and credibility.
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams), SharePoint, and Artificial Intelligence tools.
  • Continuous improvement mindset, eager to learn, enhance existing processes, and contribute to a culture of excellence and collaboration.

Your Education and Experience

  • Post-secondary diploma or degree in Business Administration, Communications, or a related field, and a minimum of five years of progressively responsible experience providing executive or departmental coordination support.
  • An equivalent combination of education and experience may be considered.

Nice-to-have

  • Experience supporting senior executives (e.g., CFO, Managing Director, or equivalent) in a complex, fast-paced environment.
  • Experience in a financial, corporate governance, or government organization.
  • Experience leading or supporting process improvement and administrative innovation initiatives.

Language requirement


The Bank’s work environment is conducive to the use of both of Canada’s official languages - English and French. The position language requirement is Level 5 (Fully Functional). Hybrid Work Model


The Bank offers work arrangements that provide employees with flexibility, enable high-performing teams, and support an excellent workplace culture. Most employees can telework from home for a portion of each month as part of the Bank’s hybrid work model, and they are expected on site at the Bank location a minimum of 12 days per month to help build connections between colleagues.   • Salaries are based on qualifications and experience and typically range from $73,511 to $86,484 (job grade 14)
  • The Bank offers an incentive for successfully meeting expectations at 5 to 7% of your base salary. The Bank offers additional performance pay (3%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
