Role Purpose :

This is an 8 Month Contract position.

  • Support Strategic Sourcing Team on day-to-day tasks, such as creating Purchase Orders, placing orders, or responding to supplier and business unit requests.
  • Liaison with accounting and procurement including Communicate with suppliers on missing invoice copies, ensure Purchase Order and proper payment terms and method are included within the document(s).
  • Keep constant communication between supplier and AP to ensure requirements are fulfilled and payments are made in a timely manner.
  • Coordinate all IT & Facility requests, place the order and support the requester from sourcing to payment.
  • Conduct Credit Applications by reviewing T&Cs and ensuring the signing officer is informed of the supplier requirements.
  • Finalize supplier setup process, ensuring there are no duplication within the data, communicate Supplier code of Conduct and direct billing requests to suppliers and follow up to complete all information.
  • Direct requests and approvals to correct division by controlling the shared Procurement email folder, tracking and monitoring and ensuring resolution to all requests,
  • Ensure the communication between the Strategic Sourcing & Procurement department and suppliers, answer inquiries and support the Strategic Sourcing team with administrative duties.
  • Maintain strong relationships with specific programs and suppliers for travel, supplies, IT, Customs Brokerage etc., ensuring accurate reporting and ordering process / approval in place.

Trouble shoot requests from business’ and ensure GIP achieves optimal discounts and savings and efficiencies for the business units.

  • Responsible for logging and securing supplier contracts and respective competitive bidding material for each new sourcing event.
  • Responsible for maintaining consistent procurement standards, and specifications regarding following procurement policy, approved supplier listing and setups.

Position Requirements :

  • Minimum 2 years of procurement experience
  • Excellent written and oral communication skills
  • Ability to work in a fast-paced environment and multitask.
  • Detail oriented, focused and committed to time sensitive orders / requests.
  • Efficient in Microsoft Excel with proven experience.
  • Ability to work efficiently as a part of a team as well as independently.
  • Possess self-discipline with the ability to effectively prioritize.
  • Maintain strong working relationships with all levels of management and non-management personnel, providing excellent customer service.
  • Ability to represent the company in a professional and positive manner.
  • Ability to show versatility and resourcefulness when problem solving
