Reporting to the Controller this position is responsible for all Sales Order Desk functions, as well as administrative support.
Manage all order entry for the US & Canadian office. The CSR is an integral part of supporting the (TM)Territory Managers and the Sales Management Team in all aspects of client acquisition, customer service, and issue resolutions.
Responsible for updating the CRM system,maintaining communication and documentation in adherence to company policy and procedure.
The role is also responsible for administrative support, performing a wide variety of clerical and administrative duties
Responsibilities :
- Receive orders by email, phone, fax, and mail and process in timely manner entering all orders into the ERP order system
- Verify pricing, billing, shipping addresses, credit status & payment method
- Notify customers of account holds (if trying to order and on stop) delivery, ETA, back orders, anticipated availability, and other related issues.
- Verify open orders in ERP, contact customers, and communicate order cancellation to billing, logistics and other staff.
- Track all open Purchase Orders and communicate with TM when they are depleted
- Work to maximize the orders through up selling on volume or value products where possible
- Coordinate on-boarding of new customers and required documentation
- Work with Credit Department on customer issues (i.e. order release from exceptions, billing inquires, and special requests)
- Back up all orders digitally.
- Process Credit Card payments.
- Participate in cross-training within Admin Department
- Perform other Admin tasks to cover sick / vacation leave, and as required.
- Assist with month end tasks as it relates to Order Desk.
- Assist Operations Dept in managing vendors and creating purchase orders.
- Become part of the company Health & Safety team.
- Assist in the planning of office events.
- Responsible for general administrative duties, including reception, courier, mail, office supplies & office equipment
- Provide sales & marketing support.
- Be the resident expert on CRM for user guidance.
- Respond to requests in a timely manner. Supply requested reports, marketing materials, etc.
- Respond to inquiries regarding pricing, products, delivery, outreach programs and customer service opportunities.
- Support Territory Managers with CRM system management and updating
- Participate when required, in sales team activities including meetings, functions, and events
Education & Experience
- Must have minimum 2 years experience in an administrative or customer service role.
- Diploma or post secondary education in a related field
- Previous experience working in Sales preferably in customer service or sales
marketing.
- Strong MS Office skills (Advanced knowledge of Excel, Word & Outlook) with a solid calendar management experience and ability to learn new applications.
- Excellent written & verbal communications
- Knowledge of office management systems & procedures
- CRM knowledge is an asset.
- Accounting experience is an asset
