The Undergraduate Program team supports students, faculty, and instructors in the administration of classes, schedules, student inquiries, and all aspects of enhancing the undergraduate experience.
This position involves working closely with students by answering inquiries, changing grades, and coordinating course changes.
Additionally, this role is heavily involved in collaborating with senior administration on scheduling classes and planning / forecasting future class requirements for all undergraduate and PPS students.
About the Role
Provides administrative, clerical, and secretarial support to the Faculty of Education undergraduate programs offered at Burnaby campus, Surrey campus, Harbour Centre, and external sites.
Provides general information regarding undergraduate programs, courses, activities, and policies and procedures. Analyzes and resolves non-routine student registration and admission problems for both on-campus and external site students.
Responds to students' requests for assistance with grading issues (i.e., grading guidelines, grade appeals, deferrals, extensions, withdrawals, unscheduled course cancellations, and rescheduled exams);
assists students with registering for undergraduate Education courses; and coordinates course changes. Monitors and maintains social media channels and updates the Undergraduate Programs' website.
Provides secretarial support to the Undergraduate Programs Committee (UPC), by preparing and distributing the agenda; recording, transcribing, and distributing minutes;
and uploading minutes on the departmental web page; and reconciles monthly budget expenditures.
To be successful in this role, the candidate must possess excellent customer service skills and be willing to assist students, staff, and instructors via email, phone, or in person.
As the primary point of contact for students, the candidate needs to understand departmental policies, operations, and how to address student inquiries effectively.
Additionally, this role involves managing schedules, so the candidate should be comfortable using Macs, learning new software, and thriving in a fast-paced environment.
Qualifications
High school graduation and one year of post-secondary education or formal program equivalent including training in word processing, spreadsheet, database, and desktop publishing applications.
4 years of related experience. An equivalent combination of formal education, certificate / program of study and experience is acceptable.
- Understanding and working knowledge of university policy and procedures.
- Familiar with etracs, SIMS and working knowledge of Macs.
- Self-starter, ability to work independently without much supervision.
