They provide oversight and management of the team members in their province and work closely with other departments to ensure efficient processes are put in place, documented, and effectively communicated.
The Transaction Lead is responsible for the organization of the Transaction Management Team who coordinates the flow of documentation from the agent to lawyers / notaries and other real estate companies involved in the contract.
The Transaction Lead ensures that the processes being completed by the team are being done timely and accurately as they are a vital part of the overall workflow.
eXp Realty is an extremely fast-paced environment and candidates must be extremely organized and able to manage their time efficiently.
- Directly oversees team members in assigned province
- Serves as the primary point of contact for escalations or day-of questions from management / other departments as well as Brokers, agents, and other eXp partners
- Oversees overtime and is responsible to notify Management of staffing needs
- Coordinates and ensures team coverage alongside the Manager
- Assists team when additional coverage is needed by performing TS tasks
- Ensures processes and procedures are documented, always updated, and accessible to the team
- Works with counterparts in identifying additional training needs and communicates updated processes / procedures to the team, based on findings of inaccuracies, places TS in mandatory training.
- Implements a training program for both new hire and existing staff
- Ensures that the back office team is properly trained and staffed
- Reviews weekly activity reports and determines where further clarification, training, or oversight is necessary
- Keeps current and new policies updated as a reference point for the team
- Work alongside the Manager to ensure metrics and expected turnaround time frames by province are being met
- Collaborates and implements new processes and initiatives across the department
- Strategizes and pivots based on business needs and differences between provinces
- Subject matter expert in eXp technologies and ensures systems and processes are running according to compliance standards and as efficiently as possible
- Assists in implementing growth strategies
- Collaborates and contributes projects as assigned by management
- Accountable for the following in their province :
- Monthly closeout
- Agent interactions
- Province collaboration
- Audit findings
- Overtime monitoring
- Performs periodic audits of transaction files for compliance
- Assists with the successful transition of onboarding transactions for Mega Teams
- Administers Transaction Group in Workplace, posting information, sharing to other eXp
- Groups when appropriate, and making sure roster and Transaction Team Org Chart is
- kept accurate at all times
- Liaison between Accounting and Transactions
- Monitors and works with the Brokerage Operations team to identify additional training
- and / or communication needs for the team as well as agents, or Brokerage Operations.
- Conducts Performance Improvement Plans when necessary
- Sits in with the Transaction Manager as 2nd person when performance talks are needed.
- Ability to maintain confidentiality and work well with agents;
- Pays close attention to current and projected transaction counts to help properly staff
- provinces and prepare for growth
- Respond to agents’ questions in a timely and professional manner;
- Work independently, resolve problems in a timely manner

How you will grab our attention :
- BA / AA preferred
- High School Diploma
- Proven track record of managing a remote workforce preferred

- 2+ years of management / supervisory experience preferred

- Real Estate Experience in Transaction Contract Management
- Ability to read and interpret documents including real estate contracts, leases, and settlement statements, and lawyer letters.
- Highly adaptable and a clear-thinking problem solver;
- A self-starter on individual projects and a contributing member on team projects with a
- can do attitude;
- Excellent written, verbal, and organizational skills;
- Professional telephone skills;
- Strong organizational, prioritization, and time management skills;
- Positive, trustworthy, and dependable;
- Proficiency in Microsoft Outlook, Excel, and Word;
- SkySlope and LoneWolf (Back Office) experience preferred
- Ability to work remotely with no direct in-person supervision

The starting base pay for this position is $62,500 CAD per year in our lowest geographic cost of living market and is dependent upon many factors such as location, experience, skills, and training.
Base pay is only one part of the total compensation package offered to employees in recognition of their hard work and is determined within a range to allow for growth and development within a role.
