We’re currently seeking a proactive and highly organized Executive Assistant to support our senior leadership team at our Kitchener headquarters.

Position Summary :

As the Executive Assistant, you will be a key contributor to the success of our executive team, providing high-level administrative support and ensuring the smooth operation of day-to-day activities. You’ll work in a fast-paced environment requiring discretion, attention to detail, and strong organizational skills.

Key Responsibilities :

• Provide direct administrative support to the executive team, including calendar management, meeting coordination, travel arrangements, and expense reporting
• Prepare, format, and edit internal and external communications, reports, presentations, and other documents
• Act as a liaison between executives and internal / external stakeholders
• Manage sensitive and confidential information with discretion
• Coordinate board meetings, take minutes, and follow up on action items as needed
• Organize company events, site visits, and meetings involving clients, partners, and vendors
• Handle general administrative duties such as filing, data entry, and procurement of office supplies
• Identify and implement administrative process improvements
