Position Summary

We are seeking a detail-oriented and highly organized Operations Administrator to support the day-to-day administrative functions of our operations team. This role is critical in ensuring the seamless coordination of service schedules, accurate billing and invoicing, and the smooth flow of communication between departments. The ideal candidate is proactive, efficient, and experienced in administrative support within a fast-paced environment.

Key Responsibilities

Administrative Support & Coordination

  • Provide general administrative support to operations leadership and staff.
  • Maintain accurate and organized records including permits, employee documents, vehicle logs, and compliance paperwork.
  • Draft, edit, and format documents such as reports, SOPs, and internal communications.
  • Ensure compliance with safety and environmental standards in documentation and procedures.

Scheduling & Coordination

  • Assist in the scheduling of daily and weekly waste collection routes.
  • Support the dispatch team with route updates, driver coordination, and real-time changes to schedules.
  • Invoicing & Billing

  • Prepare and process customer invoices based on route completion and service logs.
  • Ensure billing accuracy by cross-referencing route data, service agreements, and customer records.
  • Address customer billing inquiries and make corrections as needed.
  • Assist in tracking receivables and liaise with the finance department when required.
  • Compliance & Safety Administration

  • Help track and maintain safety certifications, incident reports, and training records.
  • Assist with regulatory compliance documentation and reporting requirements.
  • Support the preparation of audits and inspections.
  • Qualifications

  • 3+ years of experience in an administrative, operations, or office coordinator role (experience in waste, transportation, or logistics industry is a strong asset).
  • Post-secondary education in business administration, logistics, or related field preferred.
  • Proficient in Microsoft Office (especially Excel, Word, and Outlook); experience with routing, fleet, TRUX or ERP software is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Knowledge of infrastructure operations is a strong advantage.
