Key Responsibilities : Office Operations & Administration Manage reception and daily office operations to ensure a professional and welcoming environment Ensure compliance with building standards and health & safety requirements Maintain overall office cleanliness and organization, including daily tidying and light cleaning Manage coffee machine cleaning and basic maintenance Receive, unpack, and organize weekly supply deliveries Stock and organize office, kitchen, and pantry supplies; monitor inventory and place orders as needed Prepare and set up lunch for employees; ensure common areas are clean before and after meals Organize storage areas, supply closets, and shared office resources Coordinate office maintenance, repairs, and building management requests Support internal documentation and administrative processes Team & Executive Support Provide day-to-day administrative support to the Office Manager and teams Assist with calendar coordination, meeting logistics, and room bookings Prepare meeting rooms and ensure materials, technology, and catering are in place Support the Executive Assistant team with company events, meetings, and offsites Assist with travel arrangements as required Collaborate with remote teams and provide cross-functional support Build and maintain relationships with vendors and service providers, including sourcing and coordination Events & General Support Support the planning and execution of internal meetings, summits, and offsite events Assist with pre-event preparation and post-event follow-ups Run errands as needed Assist with inventory tracking and periodic inventory checks, including at external properties Support ad-hoc operational projects and day-to-day needs Perform any other tasks as requested by the manager, in support of office and operational needs Qualifications Minimum of one (1) year of experience in a corporate or professional office environment Strong organizational and communication skills, with excellent attention to detail Ability to multitask, prioritize, and adapt in a fast-paced environment Proactive, reliable, and able to identify and resolve issues independently Comfortable with hands-on and physical tasks, including lifting up to 50 pounds Valid driver’s license and ability to drive when required (personal vehicle not required) Proficiency in Microsoft Excel and Google Workspace, including Google Calendar Fluency in both English and French, spoken and written Benefits : Full health insurance plan (including medical, dental, and vision).
