Northern Lakes College has the following Permanent Full-Time Position available:

Admissions Specialist (Internal)
Salary: $62,304 to $81,960 per year
Location: Slave Lake
Start Date: August 4, 2026

Qualifications:

  • Office Administration Certificate or equivalent
  • 3 to 5 years related experience
  • A clean vulnerable sector criminal record check prior to commencement
  • A valid Class 5 driver’s license
  • A combination of education, training and experience may be considered

Nature and Scope of Work:

Reporting to the Chair, Business and Continuing Education & Corporate Training is responsible for the processing and management of student data such as tracking, financial information, and certificates for all Continuing Education and Corporate Training (CECT) courses, programs, and services wherever and however the training may be delivered.

Duties and Responsibilities:

Enter, Manage, and Report Data

  • Utilize Agresso, CECT systems/financials
  • Enter registrations, payments, and invoicing
  • Track, monitor, and initiate processes to ensure complete data is collected and forwarded to appropriate 3rd parties for processing such as St. Johns Ambulance
  • Create free text invoice for vendors
  • Administer refunds and reassignments
  • Compile, evaluate, and analyze enrolment and sponsorship documentation
  • Generate certificates for courses and programs
  • Monitor graduates of Extension Certificate programs bi-annually including generating certificates, transcripts, and presenting awards
  • Monitor certificates generated through 3rd parties such as Enform
  • Generate reports required by CECT such as statistics, listing of sponsors, and tracking of courses for enrolments
  • Create new reports in conjunction with the Information Technology (IT) department
  • Create, administer, and manage central filing system for both paper and electronic central filing
  • Manage student/instructor requests for information and documentation
  • Administer petty cash

Promote Courses/Services for CECT

  • Establish and maintain relationships with students, sponsors, and instructors
  • Maintain high-quality data entry for usage in reports used in the promotion of courses/services
  • Create and generate reports required for sales, promotion, and marketing
  • Respond to inquiries and requests in a timely fashion with expert knowledge of CE&CT processes, products, and services
  • Resolve student, sponsor and instructor issues satisfactorily for all parties
  • Provide advice to clients/students about training needs
  • Promote other services or products to clients

CE&CT Trainer

  • Identify improvements needed in service by communicating and consulting with CECT stakeholders such as customers, sponsors, instructors, other NLC departments, and CECT staff
  • Conduct needs assessment
  • Research, create, coordinate, implement, and monitor new processes such as generating survey of sponsors, train CECT administrative team, communicate with Liaison, etc.
  • Evaluate new or improved processes and affect changes where necessary
  • Plan with internal departments to facilitate the implementation of processes/systems towards increasing efficiency and effectiveness for all parties

Act as back-up for CE&CT

  • Answer and address calls, emails, faxes, and drop-ins
  • Process payments
  • Enter accurate data in CECT shadow registration system (Excel format)
  • Manage interest lists, waitlists, cancellations, and re-assignments for courses
  • Generate registration sheets for individual courses through Agresso
  • Maintain CECT registration site on CECT drive
  • Generate course reports, schedule, and distribute registration tasks. Confirm email, phone, fax, and/or mail
  • Communicate with Liaisons/Instructors regarding course numbers
  • Maintain accurate records for all courses, students, and sponsors
  • Handle inquiries for accommodations and directions to locations
  • Collect course paperwork
  • Contact Community Access Point Assistant (CAP) in community where training takes place
  • Contact Liaison responsible for course to discuss numbers and any other relevant details needed
  • Contact instructor of course regarding numbers, set-up of room, equipment needed, course materials, and any other relevant details
  • Follow-up with Liaison, instructor, and/or CAP post-course regarding numbers, fees, sponsorship confirmations, and paperwork required such as evaluations and course enrollments
  • Book and verify room bookings and caterings
  • Order and distribute course materials for Extension Certificate courses
  • Manage clean-up of room
  • Make refreshments for courses in July and August (in Slave Lake)
  • Provide administrative services to Chair, Liaisons, and Instructors
  • Order and track supplies
  • Maintain and operate all office equipment
  • Collect data on and report on the status/success of new or improved CECT processes
  • Provide basic administrative support to the Chair of Business and Continuing Education & Corporate Training

Skills/Knowledge:

  • Financial and accounting knowledge
  • Able to multi-task
  • Strong organizational skills
  • Excellent interpersonal and written and verbal communication skills
  • Able to create and manage systems
  • Able to diagnose technology issues
  • Strong computer application skills in programs such as Microsoft Office
  • Capable of working independently and as part of a team

The Successful candidate must provide College or University transcripts and a clean Criminal Record Check to Human Resources prior to commencement.

This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
