The role. We are seeking a full-time, temporary Administrative Assistant within our Production Department. The Administrative Assistant is responsible for providing a full range of high-quality, confidential administrative support to the Power & Recovery and Environment departments. The expected term of this employment will be until October 31, 2028, with the possibility of extension.
Role and Responsibilities:
- Utilize computer word processing, spreadsheet, and database software to prepare reports, memos, and documents.
- Organize, file and back up electronic files according to the established procedures.
- Prepare and distribute meeting minutes, agendas and support material.
- Support the Manager and team members with meeting, travel and other arrangements.
- Create action lists for management staff from board meetings.
- Maintain and ensure the protection of all confidential information and materials.
- Purchase, receive and store office supplies, ensuring that basic supplies are always available to the department.
- Register team members for continuing education and additional training, as required.
- Additional duties, as required.
Qualifications and Experience
- Successful completion of a High School Diploma or equivalent.
- Post-Secondary Certificate or Diploma in Office Administration.
- Minimum of 1-3 years’ experience in an administrative role.
- Advanced proficiency in Google Suite applications and working knowledge of Microsoft Office applications (Outlook, Word, Excel, and PowerPoint) required.
- Advanced organizational skills, with the capacity to manage competing priorities and meet deadlines.
- Strong attention to detail with the ability to work effectively in a fast-paced environment.
- Advanced interpersonal and communication skills, both written and verbal.
- Self-motivated and able to anticipate and respond to changes.
- Ability to ensure confidential information is protected.
