We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. Compensation:$55,000 - $65,000 yearly
Responsibilities:- Achieve company objectives and regularly compile a progress report to present to the team
- Fulfill client requests for information or other relevant transaction services in a quick and friendly manner
- Notify transaction participants when a deadline is approaching
- Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements
- Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
- Coordinate residential real estate listings from pre-listing through sale, including CMA preparation, listing paperwork, MLS setup, and status changes in Realm, marketing launches, showings, feedback collection, and compliance
- Manage buyer files from consultation through offer stage, including buyer presentations, BRA documentation, property searches, showing schedules, CMAs, and drafting offers
- Draft, review, and manage listing and buyer agreements and transaction documentation
- Coordinate vendors, including photographers, videographers, stagers, cleaners, signage, and lockbox installation
- Manage transaction compliance and file organization in Skyslope
- Maintain CRM systems and client follow-ups using Follow Up Boss
- Prepare and distribute newsletters, email campaigns, social media content, and listing updates
- Assist with bookkeeping, expense tracking, scheduling, office management, and system setup
- Support client experience initiatives, including gifting, cards, follow-ups, and client events
- Monitor multiple active files simultaneously and ensure deadlines are met without reminders
- Weekend and evening availability
- Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
- Excellent written and verbal communication skills
- Previous experience in the real estate industry
- License for real estate is preferred but not required
- Previous real estate experience is required (administration, listing coordination, or transaction coordination)
- Full-time availability and ability to work in the office in Brampton
- Reliable car and a valid driver’s license required
- Experience using Realm (MLS), Follow Up Boss (CRM), Skyslope, Canva, and Google Workspace
- Strong understanding of real estate transactions, listings, and buyer processes
- Excellent organizational, time-management, and multitasking skills
- Strong written and verbal communication skills
- Detail-oriented, proactive, and able to work independently
- Comfortable working occasional evenings or weekends when required
