ABOUT THE ROLE :
The Associate is a member of HSO’s IQMH Proficiency testing team. The Associate supports the team by carrying out administrative and logistical tasks, working within strict timelines to keep the team organized and managing pertinent information for ease of access by various team members.
In this role, you will need to be a multi-tasker! You will take on various tasks simultaneously and contribute to improving processes.
Main Responsibilities :
- Supporting the team’s internal meetings by preparing briefing materials, meeting agendas, meeting minutes, and following up on meeting action items.
- Coordinate and organize all aspects of onsite meetings, including catering, to facilitate a seamless experience for guests.
- Order supplies for the office, kitchen, and supplies related to the service delivery of the proficiency testing program.
- Completing ad hoc deliverables related to specific improvement projects.
- Perform expediting of proficiency testing materials and items to and from participants, including preparing materials for shipping, printing material labels, and creating waybills.
- Reconcile invoices against data sources for accuracy before sending them to Finance for payment.
- Provide administrative support for PT project management initiatives.
Must Have Qualifications :
- College diploma in a specialized field.
- Strong verbal and written communication skills.
- Three to four years of progressive and varied administrative experience.
- Technical aptitude.
Desired Qualifications and Attributes :
- Are familiar with the health care environment.
- Have experience with process improvement.
- Are bilingual in French and English.
- Have experience working with people via distance.
- Technical knowledge of, SmartSheet and / or DocuSign.
