Key Responsibilities
- Manage telephone calls and messages.
- Greet clients, bailiffs, court messengers and other visitors.
- Manage the reservation of conference and videoconference rooms; ensure that the calendar is up to date daily.
- Prepare conference rooms for meetings, including the preparation of coffee, refreshments and meals as needed; clean the rooms after meetings.
- Replenish the conference room with supplies.
- Ensure the general cleanliness of the reception area, kitchens (17th and 18th), visitor's washroom and conference rooms.
- Maintenance of the coffee machine and its accessories : cleaning, adding coffee and other products and ensure the machine functions properly.
- Manage the dishwashers daily and ensure that the coffee station and kitchen supplies are replenished.
- Maintain an up-to-date inventory of coffee, tea, milk and other beverages for meetings, as well as cleaning products, and place orders as needed.
- Distribution of taxi vouchers.
- Responsible for shipping and receiving, including messenger and delivery services.
- Follow up of certain incoming and outgoing cheques and communicate with assistants, as needed.
- Update the telephone list and the list of emergency contacts.
- Assist with the management of requests for service, stamps, and court filings.
Essential Skills & Experience
- Post-secondary diploma or academic training deemed equivalent.
- Minimum 1-3 years' prior relevant experience.
- Bilingualism (French / English), spoken and written, at a highly functional / fluent level.
- Ability to communicate and interact effectively with clients and at all organizational levels of the firm.
- Skilled at using various office software and aptitude to learn new technology tools.
- Good organizational skills, attention to detail and thoroughness in work performed.
- Tact, discretion, and ability to exercise good judgement.
- Ability to work as part of a team as well as independently.
- Professional behavior at all times required.
- Comfortable performing a high variety of tasks including multi-tasking.
- Flexibility and versatility in adapting to new duties.
