Our client is seeking a dynamic and highly organized individual to join their team as an Executive Assistant for a contract position.

In this role, you will have the opportunity to provide top-tier support to senior executives, overseeing calendar management, travel arrangements, meeting coordination, and office operations to ensure seamless functioning.

Responsibilities

Duties will include but are not limited to :

  • Arrange schedules for senior leaders, prioritizing meetings and resolving any conflicts.
  • Create documents, presentations, and reports, which may involve conducting research.
  • Process invoices promptly, ensuring they undergo review and receive necessary approvals.
  • Order office supplies.
  • Maintain orderly filing systems, both electronic and paper-based, for easy information retrieval.
  • Format outgoing correspondence and assist with new employee orientation.
  • Coordinate travel arrangements for team members.
  • Record, transcribe, and disseminate meeting minutes.
  • Prepare and submit expense reports for both leaders and staff.
  • Ensure timely handling of customer inquiries and complaints, escalating issues as required.
  • Assist leaders in fostering a positive work environment by organizing milestone anniversary events.
  • Undertake additional responsibilities as assigned.

Qualifications

  • At least 2 years experience in an Executive Assistant role
  • Organizational and administrative skills required to perform activities in a deadline driven environment, working with constant interruptions.
  • Excellent command of the English language (verbal and written).
  • Proficient in Microsoft Office (MS Word, MS Outlook and MS Excel)
  • Ability to receive direction from multiple individuals
  • Ability to deal with varying personalities of internal and external clients
  • Strong attention to detail
