Busy anddynamic real estate agent is growing and looking to hire a LicensedAdministrative Assistant. The ideal candidate will be a licensedRealtor that is looking for a more balanced work schedule withguaranteed hours income and wants to be in more of anadministrative role while still being able to transacts forthemselves and friends and family.

This person will be working veryclosely with the team leader and sales agents in order to simplifythe sales agents duties and help providean exemplary customer experience.

GeneralDuties :

Opening andclosing of the Office Facility

Checking theoffice mailbox daily and mailing items as required

Answering thephone servicing customers and / or directing messages to theappropriate person

Monitoringdirecting and responding to incoming emails

Greetingcustomers and handling deliveries

Communicatingwith inside / outside sales agents

Communicatingwith clients / customers to ensure a first class customerservice experience

Creating GoogleMeet links

Assisting withscheduling and appointments

Organizingforwarding and electronically filing documents usingGoogle Drive

Managingcustomer database

Handling directmail and enewsletters

Running errandsas required by the office and sales agents including but notlimited to : installing / removing Directional Signs General SignageLock Boxes Key Cutting / Running

SellerClients :

Preparinglisting paperwork / packages

Inputting / managingcustomer contact information

Communicatingwith clients / customers

Coordinatingphotographers cleaners home stagers signinstallation / removal key dropoff / pickup etc.

Inputting / uploadingnew property listings / photographs to the MLS andverifying accuracy

Settingup ShowingTime

Handlingfeature sheets / booklets

Inputting / uploadinglistings using all marketing vehicles (Instagram KijijiFacebook Website)

Handling showingrequests feedback property updates and offer notifications

ManagingDocuSign envelopes for both Listing Agent and customers

Uploading / forwardingpaperwork to agents customers mortgage agents lawyersand GoogleDrive

Inputting / trackingsold data

Updating databases

Facilitatingappraisal access if required

Activating FirmSale Action Plan

BuyerClients :

Preparing paperwork / packages

Inputting / managingcustomer contact information

Communicatingwith clients / customers

Assisting withscheduling showings

Assisting withproperty information requests

Preparing offerpaperwork for Buyers agent

ManagingDocuSign envelopes for Buyers agent and customers

Facilitatinginspection access if required

Inputting / trackingsold data

Updating databases

Facilitatingappraisal access if required

Activating FirmSale Action Plan

Marketing / NewBusiness :

Managing socialmedia including Instagram Facebook LinkedIn etc.

Supportingvarious requests from team members

Direct Mail andmail drops

Outbound callsas required

Billing / Accounting :

Forwardinginformation / documents to lawyers and cooperating brokerages

Invoicing

Scanning / Depositing / draftingof cheques and various bank duties

Handingbills / agent payments

Statistics / tracking / record keeping

Other :

Vacation andvacation pay

40hours per week

Monday Friday830am 5pm
