POSITION OVERVIEW
The Ottawa Safety Council (OSC) is seeking a dedicated and community minded professional to join our team as a Program Coordinator (current vacancy). In this dynamic role, our Program Coordinator provides logistical and administrative support to ensure the smooth delivery of organizational programs. The role coordinates scheduling and staff onboarding for a large team of part-time field staff, manages time-off requests and vacancies, and serves as a primary point of contact for staff inquiries.

DUTIES AND RESPONSIBILITIES
Leads the logistical scheduling of field staff (approx. 300 part-time workers) : receiving, tracking, and filling leave requests, including last minute / same day time off requests, longer term leave and vacated positions.Assists the Program Manager with logistical aspects of programs, such as meetings, seminars, workshops, special projects, and events.Triages and responds to telephone, e-mail, and in-person inquiries from field staff.Assists with site visits as necessary.Tracks, prepares, and submits reports regarding vacancies, time and attendance.Supports retention and recruitment activities as needed.Provides administrative program support.Promptly reports any potentially dangerous situations to the Program Manager.Provides guidance relative to compliance with policies and safety regulations and practices of the OSC.Supports school programming (WalkSafe and RS4K) activities as needed.POSITION REQUIREMENTS
Availability to work Monday to Friday, from 6 : 30am - 2 : 30pm and 9 : 00am – 5 : 00pm. Availability to work occasional weekends (3-5 times per year). Though the OSC has WFH flexibility, staff could be required to work from the office at anytime.Police Records Check (PRC) with the Vulnerable Sector – PRC can be completed during the application process. Costs associated with the PRC will be reimbursed by the OSC after three (3) months of employment. Employment offer conditional upon a valid PRC.English proficiency is required, other languages an asset.Driver’s license and access to a vehicle – required.Post-secondary education in office administration, human resources, customer service, and / or hospitality would be an asset.Experience with providing educational presentations.Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).Strong written and verbal skills.Local travel will be required.Works well with others and takes direction and criticism in a positive manner.Highly effective project management, prioritization, multi-tasking, and time management skills to meet deadlines.Maintain a calm and professional demeanor at all times.Politically and culturally sensitive.Knowledge of scheduling, time and attendance tracking software an asset.Knowledge of client management / database management software an asset.Knowledge of program strategy, development, implementation, management and evaluation an asset.Experience working in a call center or customer service focused environment.WordPress, Adobe Illustrator, and Canva an asset.WORK CONDITIONS
