Job Description :

Reporting to the Chair, Academic Access Centre, the Academic Access Advisor assists in the achievement of the College’s enrolment targets through one on one meetings with prospective students, particularly non-direct applicants.

The incumbent helps to clarify their career and educational goals and identify pathways to achieving those goals.The incumbent serves as a liaison for non-direct applicants in various matters relating to application for admission, testing, program information and college services.

The incumbent also assumes primary responsibility for the implementation of transition activities and workshops.

Duties and Responsibilities :

The incumbent is responsible for the ongoing success of the College by increasing full-time and part-time enrolment of under-represented or non-direct students at Algonquin College :

Meets with non-direct prospective students via phone, email, virtually or in-person on a one-on-one basis to probe for information on their career and educational goals.

Provides clients with detailed information pertaining to college access programs, support services, application procedures, admission criteria and referrals to community programs and services when appropriate.

Provides information on alternative programs or pathways and provides a course of action to meet admission requirements to non direct applicants.

Advocate for exceptions to other departments as needed.

Serves as a main point of contact to the college for high school guidance counsellors, Employment and Financial Assistance Centre officers, and social workers from outside agencies that need information on various college programs or contacts.

Maintains contact with Client Service Officers in the Registrar’s Office and program coordinators to remain current on program eligibility requirements.

Provide Direct Advising Support to the Test Centre :

Follows up with prospective Academic Upgrading students to discuss the results of the Academic Upgrading Initial Assessment and provides options either within the College or in the broader community.

Follows up with college applicants who have completed full-time college admission assessments via e-mail, phone, virtually or in-person to interpret and discuss test results, how they relate to their chosen programs, and what options they have.

Support to Faculty :

Reinforces student academic advising provided by faculty. Where faculty have identified issues of student misconduct, lack of attendance or lack of progress, and at the request of faculty, the incumbent meets with Academic Upgrading students to help them reassess their priorities and to reinforce faculty referrals to college support services and / or suggests redirection.

Responsible for identifying and maintaining information about community programs and resources which could benefit students who are redirected.

Acts as a liaison between Academic Upgrading faculty and the Registrar’s Office by providing detailed information that can directly affect a student’s application to a post-secondary program.

Student Recruitment and Implementing Retention Initiatives for Academic Access Centre :

Promotes Algonquin College by conducting information sessions for non-direct client groups, on and off-campus, on the various college programs and options for meeting college admission criteria.

Venues include trade and education fairs, career fairs, and community events.

As part of Academic Upgrading’s retention strategy, is a member of the Academic Upgrading Retention Committee which plans, coordinates and implements retention events.

Also serves on departmental committees including Department Planning as needed. Develops and maintains lists of community program contacts.

Plans and implements new outreach to community programs or community groups.

Maintains the promotional materials / displays boards used on and off-campus events.

Is responsible for the preparation and revision of all promotional material, promotional giveaways and promotional mail outs.

Preparation of Proposals, Statistical Reports and Special Submissions :

Prepares a variety of complex and detailed statistical reports required by the College Sector Committee for Adult Upgrading related to the post-secondary progress of former Academic Upgrading for inclusion in the provincial Prepared for Success report.

Maintains multiple databases for the purpose of tracking clients and providing statistical reports.

Drafts documents for the Chair that relate to unique and special circumstances.

Prepares a monthly report for the Chair for inclusion in Academic Access Centre’s report submitted to the Dean and faculty.

Other Duties as Assigned.

Required Qualifications :

Minimum three (3) year Diploma / Degree in Psychology, Social Work, or equivalent;

Minimum three (3) years’ experience in advising clients preferably in an educational setting :

  • Using a variety of databases to analyze complex data;
  • Managing complex projects;
  • Providing pre-admission advising, information and referral services on a one-on-one basis;
  • Demonstrated ability to deliver dynamic presentations and to modify the presentation based on the target audience;
  • Sensitivity to a culturally diverse population;
  • Excellent communication and interpersonal skills;

Excellent knowledge of Algonquin College’s programs, services and admission procedures is an asset.
