Position Overview
We are seeking a detail-oriented and dynamic Administrative Manager to join our team. This role is pivotal to maintaining efficient business operations and ensuring seamless coordination across multiple functions, from client services and event management to digital content and system updates.
The ideal candidate is highly organized, tech-savvy, and skilled at balancing multiple priorities, with the ability to provide support for a wide range of initiatives.
Key Responsibilities
- Invoicing & Financial Coordination : Manage and track invoicing processes using QuickBooks; support financial reporting and budgeting tasks.
- Event Coordination : Lead logistical planning and execution for the Kathleen Black Annual Summit, webinars, and other live or virtual events, ensuring exceptional attendee experiences.
- System and Website Management : Oversee updates and improvements to our WordPress website; manage integrations and automations via tools such as Zapier and workflows.
- Social Media & Content Support : Collaborate on social media campaigns by creating visuals in Canva, organizing content schedules, and tracking engagement metrics.
- Client & Coach Coordination : Schedule and coordinate sessions between clients and coaches; manage client inquiries to ensure timely and professional responses.
- Vendor & Sponsorship Management : Support sponsorship and vendor relations by coordinating partnerships and maintaining communication with event sponsors.
- Process Improvement & Workflow Automation : Design and optimize workflows within Asana and Trello, using automations and AIs where appropriate to streamline processes.
Qualifications
- Education : Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred.
- Experience : 3+ years of experience in administration, event coordination, or operations management.
- Technical Skills : Proficiency with QuickBooks, WordPress, Canva, Zapier, Asana, Trello, and other project management tools;
experience with workflow automations and AI-driven solutions is a plus.
- Project Management : Strong organizational and project management abilities with proven experience in coordinating multi-faceted projects.
- Communication Skills : Excellent verbal and written communication skills; able to build rapport with clients, vendors, and team members.
- Problem-Solving : A proactive problem-solver who can anticipate needs, streamline processes, and troubleshoot challenges with minimal supervision.
- Flexibility : Adaptable to changing priorities and comfortable managing multiple projects in a fast-paced environment.
