Coordinator, Talent & Operations
The Coordinator will play a crucial role in supporting the Director, Talent & Operations by managing administrative tasks, coordinating projects, and ensuring smooth operations within the Montreal office.
The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment.
Essential Functions :
- Provide comprehensive administrative support to the Director of Talent & Operations.
- Organize and schedule recruitment events and campus visits to attract potential law students.
- Ensure timely posting of recruitment-related communications on the firm’s website and social media platforms and review translated materials for consistency.
- Handle the logistics of the recruitment process including screening resumes, scheduling interviews, coordinating with hiring lawyers and committees, and managing candidate communications.
- Facilitate the onboarding process for new talent, including orientation, training, and integration into the firm.
- Help in the preparation and administration of performance reviews for students, associates and other members of the firm.
- Maintain and update employee records and databases, ensuring accuracy and confidentiality.
- Assist with various projects and initiatives related to student recruitment, lawyer development and office operations.
- Maintain comprehensive documentation of all recruitment activities, as well as firm events and initiatives.
- Track departmental expenses to ensure they align with the budget and reconcile the firm’s Visa transactions.
- Assist with various filings required by the Quebec Bar.
- Handle confidential information with discretion and professionalism.
- Liaise with internal and external stakeholders on behalf of the Director.
- Other administrative and clerical duties as assigned.
Qualifications :
- Minimum of 3 years of experience in an administrative or coordinator role, preferably in a corporate or legal environment.
- Excellent communication skills both in French and English and superior client relation skills with a keen sense of professionalism.
- Proficient computer skills including MS Outlook, Word, intranet, and legal based software programs.
- Ability to work as a team and good problem-solving abilities.
- Self-motivated, highly organized with the ability to multi-task in a fast-paced work environment.
