Position Title : Health & Safety Coordinator / Project Assistant

Reports to : Team Lead, Project Controls
Based at : Regional Office (Remote work available)
Position Purpose : At Williams Engineering (WE) nothing is as important to us, then the safety of our team and the teams we work with, and we are proud to be an accredited COR company.
We are seeking an individual competent in supporting our safety program with potential to lead our safety program in future.
This is a split role, to also include Project Assistant duties. This full-time position will be divided into 20% Safety Coordination, and 80% Project Assistant.
Our Health and Safety Coordinator is responsible for supporting the ongoing maintenance and performance of our safety program and to promote a culture of safety excellence to all teammates and ensure adherence to policies and procedures.
As a Project Assistant , providing a positive impression of the company through exceptional customer service to internal and external clients, while embodying WE’s Purpose and Core Values of improving the greater community and strategic goals for success.
This role contributes to a remote, centralized Project Controls team, supporting the company across all regions with a variety of business services support functions, ensuring corporate standards for procedures and policies are upheld and consistently meet company objectives.
This position has potential to lead to other career opportunities within the various business functions of Williams Engineering Canada Inc. (WE).
Specific Project Assistant Responsibilities Include :
- Support the daily administration of the Safety Program (maintain records, etc.)
- Provide onboarding presentations to new hires.
- Support Safety Lead with COR Audit Preparations (tasks may include organizing data, coordinating with teammates for required information, organizing interviews, co-audit (if certified COR auditor)
- Assist with company-wide communications.
- Coordinate with Regional Business Managers for timely maintenance of equipment and purchase of PPE for all offices.
- Record maintenance activities and file documentation.
- Support with Safety rewards program.
- Assist with annual safety program updates.
- Participate in Health and Safety Meetings, as required.
- Complete monthly Job Hazard Assessment audit and provide results to Safety Lead
- Other duties as assigned.
Specific Project Assistant Responsibilities Include :
- Coordinate office couriers on a timely basis, as required
- Assist project teams with all support tasks such as :
- New opportunity set up;
- Proposal preparation;
- Editing, formatting, and proofing of all project documentation (reports, specifications, construction documents and contracts, spreadsheets, etc.
and updating appropriate WE project tracking tools.
- May assist teammates with booking travel, accommodation, and meetings as appropriate.
- Assist PM’s with project tracking and maintenance of client contact information in Microsoft Dynamics.
- May act as a client contact as appropriate.
- May receive, deliver and track drawings for specific projects.
- Basic understanding of drawings for advanced proposal / report preparation assistance.
- Prepare reports using corporate standards and templates and contribute feedback for appropriate updates of these templates.
- Assist PM’s with the following :
- Compiling information from engineers and other appropriate sources as requested.
- E-mail, correspondence, client communications, distribution of information to clients and peers.
- Ensuring schedules are met for deadlines, documents and meetings.
- Provide quality control services to ensure corporate standards and procedures are met and promote WE’s brand.
- Teammates are required to adhere to the company policies and guidelines as well as the company and client safety policies and practices in effect at any given time.
- Become proficient in the use of WE software required for this position.
- Develop a wealth of company knowledge to appropriately assist inquiries from the public.
Qualifications and Experience :
- ASCA COR Auditor, considered an asset.
- Certificate in Health & Safety, or equivalent training and experience.
- Experience supporting a health and safety program.
- Knowledge of Occupational Health & Safety Act & Regulations.
- Advanced knowledge of MS Office 365.
- Strong presentation skills including public speaking.
- Minimum of 2 years administrative or related experience.
- Enjoys administrative work and has an interest in engineering or project management.

- Application knowledge of WE systems and programs (including Microsoft Office 365, SharePoint, Deltek Vision, Microsoft Dynamics, PandaDoc, and Newforma).
- Able to take on new / additional roles and responsibilities on a proactive basis.
