Position Summary
We are seeking an ITSM & Operations Administrator to join our Corporate Services Department to support and advance our ITSM ecosystem. This role is pivotal in ensuring seamless service delivery, optimizing workflows, and driving innovation across our IT operations. The ITSM Administrator will configure, develop, and maintain our ITSM environment to support all business functions represented from other integrated tools such as incident, project, billing, and other request management processes. You will architect solutions, automate workflows, enable accurate billing and reporting, and strive to deliver an excellent user experience while leading innovation and operational excellence across the business. This position offers an opportunity to shape how automation empowers our business.
Responsibilities
Platform Ownership & Consolidation
Own and administer the Halo platform as the central operational system.Consolidate workflows and features previously spread across multiple internal systems. (e.g., quoting, billing, project / engagement management, contract / renewal workflows, resource scheduling, approvals).Streamline processes to create a unified and efficient operational experience.Solution Architecture & Systems Design
Design scalable workflows, data structures, and automation within Halo.Define and maintain standards for configuration, data governance, and documentation.Translate business requirements into functional, maintainable platform capabilities.Operational Engineering & Automation
Build and optimize workflow automation to reduce manual effort.Improve request, change, asset, and service processes through configuration and scripting.Enhance user experience through forms, dashboards, and self‑service components.Product Ownership & Change Management
Gather requirements, prioritize enhancements, and maintain a platform roadmap.Lead testing, release planning, and rollout of new features or changes.Support stakeholders in adopting new processes and updates.Financial & Billing Workflow Enablement
Configure and maintain contract, subscription, and billing workflows within Halo.Improve accuracy and consistency of operational and financial data.Support reporting, reconciliations, and recurring processes.Integration Engineering
Build and maintain integrations between Halo and other internal systems.Ensure data quality, stable connections, and reliable synchronization.Monitor integration performance and resolve issues as needed.Governance, Compliance, & Risk
Establish governance for platform access, configuration, and auditability.Align workflows with internal compliance, security, and operational standards.Maintain documentation, runbooks, and configuration records.Training, Enablement, & Support
Develop training materials and deliver platform onboarding for internal teams.Provide Tier3 support for complex system or workflow issues.Promote platform best practices and continuous improvement.Required Education / Credentials / Qualifications
Hands‑on experience administering ITSM platforms (Halo ITSM experience strongly preferred; Autotask, ServiceNow, ConnectWise, or similar considered).Solid understanding of ITIL principles and IT service management processes.Hands‑on experience to build workflow automation, system integrations, and reporting tools.Strong analytical and problem‑solving skills with attention to detail.Excellent communication skills to collaborate across technical and non‑technical teams.Ownership mindset to translate business requirements into platform capabilities.Preferred Skills
Familiarity with Microsoft ecosystem (Entra ID, Intune, Defender) and enterprise SaaS integrations.Experience with API‑based integrations and data management.Knowledge of compliance frameworks (SOC2, ISO / IEC 20000) and security best practices.Ability to manage projects and deliver improvements in a fast‑paced environment.Certifications such as ITIL Foundation, Halo Administrator, or equivalent are a plus.Success Outcomes (6–12 Months)
Consolidation : Decommission or materially reduce reliance on legacy capabilities by migrating priority workflows into Halo.Automation & Efficiency : Deliver a set number of critical automations (e.g., renewals, usage billing, approval chains) reducing manual effort and errors.Service KPIs : Improve MTTR and first contact resolution through streamlined workflows and knowledge; meet or exceed defined SLAs.Billing Accuracy : Achieve targeted invoice accuracy and on‑time billing rates; reduce billing exceptions and rework.Adoption & Experience : Increase user adoption of Halo features (analyst and manager cohorts) and improve operational satisfaction (internal CSAT).Benefits
