A Service Advisor is responsible for making sure the technicians have all of the information and parts needed to do the assigned tasks and for gathering the information needed to inform the customer of, not only what will be required to address their concerns, but also inform them of the general condition of their vehicle.
The urgent and not so urgent repairs. Overdue and upcoming maintenance. The value of the repairs and maintenance and the risks of putting them off.
Asking questions to help the customer to decide the best path to take regarding their vehicle. Their budget, how long they would like to keep the car, their driving habits and any trips being planned etc so we can help them make an informed decision about their vehicle.
A Service Advisor's job description requires detailed knowledge of car mechanics, strong interpersonal skills, the ability to multi task, great organization skills and the ability to communicate well with patrons and technicians.
Essential Duties and Responsibilities of a Service Advisor :
- Orders, receives and tags incoming parts and cores.
- Gathers the specific vehicle issues from the repair order and the service writer.
- With that information, they go over the repair order to ensure the jobs and times needed are correct, and assign the job to the correct technician in the best order possible.
- Checks in with the technician to insure it will be completed within the time given.
- Collects the information from the technician regarding the customer's concern, the overall condition of the vehicle, status of existing recommendations and new recommendations.
- Assembles a report and estimates for the customer.
- Calls the customer and goes over the findings. Asks if the customer understands and asks for approvals.
- If approved, the service advisor orders the parts required, creates a revised repair order with new time allowances and assigns the approved work to the appropriate technician.
- Once the repair order is complete and inspected, the repair order is converted to an invoice and forwarded to the service writer to advise the customer of the completion and confirm final price and pick up.
- Makes copies of comebacks, warranties and courtesy car repair orders for management.
- Tracks all parts returns.
- Assists the service writer.
- Maintains electronic and / or paper records of completed service work.
- Orders supplies as required.
- Trains new service advisors.
Required Knowledge, Skills and Abilities :
- Demonstrates detailed knowledge of the automotive industry.
- Possesses working knowledge of the makeups, frequent problems, and necessary maintenance for a variety of vehicles.
- Exhibits strong customer service skills.
- Demonstrates solid organizational abilities.
- Possesses knowledge of proper safety precautions in the service area.
- Knows how to drive manual and automatic vehicles.
- Demonstrates strong leadership skills.
- Is able to read and interpret repair arders and billing statements.
- Demonstrates ability to translate automotive jargon into layman's terms for customer benefit.
- Pays close attention to detail.
- Possesses basic computer skills.
- Possesses physical strength and stamina to remain standing or moving for an entire shift.
- Maintains calm and patient demeanor with frustrated or confused customers.
- Works well with a team of mechanics.
Education and Experience :
- Verifiable previous in the automotive service industry is required.
- Must hold a valid driver's license.
Work Environment :
- Time will be spent at the front end entering data, looking for parts and in the shop, communicating with the technicians.
- Conditions in the shop may be dangerous and dirty.
- Proper protective gear must be worn when in the shop.
- Standard 40 hour workweek applies.
