Role Summary

We are seeking a highly organized and detail-oriented Group Travel Coordinator to manage the full lifecycle of our complex group bookings. This specialist will be responsible for coordinating logistics managing vendor contracts and ensuring clear communication between the group leader individual travelers and suppliers. The ideal candidate thrives in a remote environment and possesses exceptional problem-solving and communication skills maintaining our high standard for value-driven service .

Key Responsibilities

• Group Logistics Management : Manage all components of group travel including room blocks flight manifests contracted dining and private transfers for groups ranging from 10 to 100 travelers.
• Vendor and Contract Negotiation : Communicate directly with hotels cruise lines airlines and ground operators to secure optimal group rates contracts and concessions maximizing value for the clients budget.
• Financial Oversight : Monitor group payment schedules manage room attrition deadlines track commission statements and process payments accurately within defined deadlines.
• Client Relationship Support : Act as the primary liaison between the group leader and suppliers providing professional updates handling group reporting and assisting with individual traveler inquiries (e.g. specific room requests pre-trip documentation).
• Documentation and Compliance : Ensure all group files contracts passenger details and insurance documents are meticulously organized accurate and compliant with all travel regulations.
