Overview
A downtown Toronto legal practice is seeking a Bilingual Legal Assistant. This role is well suited to a motivated professional who enjoys managing priorities, working closely with senior lawyers, and supporting international clients in a dynamic legal environment. This is a hybrid position offering both in-office collaboration and remote flexibility.
About the Role
In this role, you will act as a trusted administrative partner to senior legal professionals, supporting cross-border matters and maintaining strong relationships with European clients, particularly those in German-speaking regions.
Responsibilities
- Coordinate complex scheduling, manage correspondence, and oversee day-to-day administrative functions for senior legal staff
- Communicate regularly with German-speaking clients and external stakeholders across multiple time zones
- Assist with international corporate and commercial transactions, ensuring documentation and deadlines are managed efficiently
- Draft, edit, and format legal correspondence and materials in both German and English
- Maintain confidentiality when handling sensitive legal and client information
- Support internal processes, procedures, and administrative workflows, including contributing to process improvements
- Assist with client intake and ensure timely follow-up in accordance with internal standards
- Prepare presentation materials and supporting documents for meetings, conferences, and business development initiatives
- Support website content updates and administrative onboarding for new team members
- Assist with billing coordination, tracking invoices, and supporting accounts receivable processes
- Arrange domestic and international travel, including itineraries and meeting logistics
Qualifications
Required Skills
- Law degree or equivalent from an accredited Canadian or German institution (required)
- At least one year of experience in a comparable legal administrative or executive support role, utilizing both German and English (required)
- Full professional fluency in German, including written legal correspondence (required)
- Strong proficiency with Microsoft Office applications (Word, WordPerfect, Excel, PowerPoint, Outlook)
- Familiarity with legal practice management and accounting software is an asset
