The Opportunity As a Project Administrative Assistant working in the Civil & Infrastructure Operations team at Pomerleau Construction, you will play a key role in supporting the project team(s) with key administrative tasks.
Working on large-scale building and infrastructure projects ranging from $1.5 million to upwards of $1 billion you will support the maintenance of project documentation, meeting schedules, and assisting with the coordination of project resources.
Please note that this role is for the Woodfibre LNG project 7 km from Squamish. The successful candidate will need to be comfortable working in Squamish.
- What YOU Will Do Work closely with the Project Director, Senior Project Manager, and the Project Team by providing administrative support;
- Collaborate and keep the lines of communication open when working with team members, trade partners, consultants and clients;
- Effectively use CMiC and Procore and be a key resource for all project team members; Take pride in using and maintaining our innovative internal technology systems;
- Jump in right from project start-up to assist with key documentation and drafting of contract award letters; Keep on top of subcontracts and ensure key information is updated and distributed accordingly;
- Assemble, attend, document and emphasize the importance of project meetings; Utilize your passion for organization through maintenance of shop drawings, RFI’s, material purchase orders, change notice quotes and project completion documents;
- Adapt to project changes by updating project presentations; Take charge of project invoices and ensure transmission to our Accounts Payable team;

What YOU Will Bring 3+ years’ administrative experience in the Construction industry. A College Diploma in the field of Office Administration or a combination of education and industry experience.
Previous experience working on a large-scale construction project is highly desirable. A proven track record of project administrative support and team leadership skills.
Solid written and verbal communication skills. Strong computer skills with enthusiasm for innovation. Proven organizational skills and a keen attention to detail.
Comfortable working at a remote project site close to Squamish. Experience with document control and meeting minutes : manage document tracking and archiving;
record and distribute meeting minutes.
