Position Overview :
The Leasing Administrator plays a central role in supporting the day-to-day operations of the leasing department at KG Group. This role is responsible for processing rental applications, coordinating appointments, managing leasing documentation, and maintaining accurate leasing records. The Administrator works closely with the Leasing Consultants to ensure a professional, efficient, and compliant leasing experience for all prospects and new residents.
Key Responsibilities :
Scheduling & Coordination
- Appointment Booking :
- Respond to all leasing inquiries (phone, email, text, listings) by providing accurate information on suite availability, pricing, and process. Pre-qualify prospects and book property tours, lease signings, and virtual meetings for the leasing team. Escalate complex queries to Leasing Consultants.
- Calendar Management :
- Maintain a detailed and conflict-free calendar of leasing appointments. Ensure all bookings are properly scheduled, confirmed, and visible to the full leasing team. Communicate key dates, showings, and changes promptly.
- Timely Follow-Ups :
- Confirm appointments and follow up within 24 hours on missed bookings, leads, tours, or pending documents. Log all updates in CRM and internal tracking tools.
- Internal Communication :
- Coordinate proactively between prospective tenants, leasing consultants, and property management to ensure alignment. Update showing notes and notify teams of lease approvals or priority appointments.
- Marketing & Event Coordination :
- Assist in organizing leasing events, open houses, and suite launch activities in collaboration with marketing and on-site teams.
Applications, Verifications & Lease Execution
Application Review :Process incoming rental applications by checking for accuracy, completeness, and compliance with company policies. Ensure applicants are qualified according to KG Group standards.Document Collection :Collect and review all required supporting documents : government ID, income / employment verification, bank statements, landlord references, and guarantor forms (if applicable).Screening & Compliance :Perform credit checks, employment verification, landlord references, and social media reviews as part of the screening process. Ensure applications are submitted within 48 hours of the tour. Holds on suites are capped at 24 hours.Approval & Lease Prep :Support the Leasing Manager by preparing clean, complete files for final review and approval. Once approved, prepare the full lease package, including the standard lease, addendums, consent forms, utilities forms, and parking / locker agreements.Lease Execution & Move-in Readiness :Coordinate timely lease signings (preferably in person; virtual only if necessary). Ensure utilities forms are submitted, tenant insurance is set up within 7 days, and all departments are informed post-execution.Database & Record Management
Data Entry & SharePoint File Creation :Maintain accurate records of all leasing-related documents, communications, and updates. Create and store both hard and soft copies of resident files in MS SharePoint per company protocol.Application & Lease File Maintenance :Prepare hard copy lease packages for management review and ensure that digital copies are uploaded accurately and efficiently.Tracking & Reporting :Track lead sources, suite rentals, lease signing progress, and application status using internal grids and trackers. Update property rental rates monthly with accuracy.Reporting & Analysis :Prepare and deliver weekly, monthly, and quarterly reports on leasing KPIs, including lead-to-lease conversion, application response time, lease turnaround time, and more.Audit & Accuracy Checks :Conduct bi-annual audits of leasing files to ensure all resident information, application status, and compliance requirements are up-to-date.Confidentiality & Data Security :Protect sensitive tenant and applicant data in compliance with company privacy and security policies.Administrative & Cross-Departmental Support
MLS Listings & Third-Party Coordination :Handle paperwork, scheduling, and communication with MLS agents for lease assignments, takeovers, or sublets. Ensure compliance with policy and smooth transitions.Leasing Process Oversight :Monitor the full leasing pipeline, track deadlines, and proactively flag bottlenecks or missing steps to the leasing team.Cross-Team Support :Liaise with Property Management, Operations, and Maintenance to support move-ins, suite readiness, and resident onboarding.Document Accuracy :Ensure all leases, legal agreements, and communications follow KG Group standards and are accurate and up to date.Post-Tour Feedback & Market Intelligence :Gather post-tour feedback from prospects and monitor nearby competitive listings (rental or condo) via MLS or other platforms. Report trends and pricing changes to Leasing Manager.Resident Welcome & Handover :Ensure handover emails are sent to new residents and that their onboarding process is complete.Marketing Support :Provide administrative and coordination assistance for resident and corporate marketing initiatives, events, and promotions.Special Projects & General Office Duties :Support ad hoc projects, assist with ordering supplies, managing leasing inboxes, and attending meetings to support the smooth operation of the leasing department.Qualifications :
2–3 years of administrative experience in residential leasing, real estate, or property management.Strong attention to detail, organizational, and multitasking skills.Experience using Yardi, Rent Café, and MS SharePoint (or equivalent systems).Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.Understanding of leasing regulations, Fair Housing guidelines, and confidentiality protocols.Exceptional written and verbal communication skills.Professional demeanor, proactive mindset, and ability to work independently and collaboratively.Comfortable working in a fast-paced, deadline-driven environment with multiple stakeholders.
