We are looking to hire an Administrative Assistant-Customer Relations to support our financial planning practice.

Duties and Responsibilities :
- Check and reply to email in a timely manner
- Communicate with clients by telephone calls and emails in a timely manner, and support to Financial Advisor’s clients or related parties who would like to contact Financial Advisor
- Arrange, contact, follow up Financial Advisor's clients' appointments. Handle room bookings and other facilities arrangement (e.
g. Zoom link), prepare related documents (e.g., Advisor Disclosure Form) for Financial Advisor’s client meetings
- Support Financial Advisors to fill in application forms for clients
- Ensure all compliance paperwork is in order
- Assist in Financial Advisor in opening mutual fund account and handling fund switch of mutual fund for clients
- Assist in Financial Advisor in handling fund switch of segregated fund of different carriers for clients
- Generate product page from company CRM system
- Prepare account review meeting with clients
- Prepare cash surrender value (CSV) for corporate clients on the last working day of each month
- Handle all Financial Advisors’ pending cases
- File handover from Paraplanners (standardize package / template) to follow up client's matters (e.g. fill in client’s application)
- Responsible and keep proper filing for both internal and external correspondence related to Financial Advisor's clients
- Carry out other ad-hoc duties as required
Qualifications :
- Fluency in English and Cantonese required
- Degree in Business Administration or equivalent
- Two years of relevant experience in the insurance, and / or financial industry
- Knowledge of mutual fund / investment products
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office application, including Word, Excel, PowerPoint and Teams
- Attentive to detail and well organized
- Ability to work independently and efficiently in a fast-paced environment
- Proactive personality
- Capable to handle and prioritize multiple projects simultaneously
Job Types : Full-time, Permanent
Salary : $47,000-$54,600 per year subject to working experiences
