Job descriptionNew Value Solutions, a national IT consulting firm, is seeking an IT Project Coordinator to support our client’s Corporate Real Estate portfolio. The IT Project Coordinator will work closely with project managers, cross-functional business teams, technical and non-technical stakeholders, vendors, design partners, operations teams, and project sponsors to support the successful delivery of medium to large-scale initiatives.
This role requires strong coordination, communication, documentation, and organizational skills, with the ability to manage competing priorities in a fast-paced environment. The ideal candidate brings experience supporting IT, corporate real estate, workplace, facilities, renovation, or transformation initiatives and is proactive, detail-oriented, and solutions-focused.
Responsibilities:
• Support project managers and project teams through all phases of the project lifecycle, including planning, execution, monitoring, and close-out.
• Assist with maintaining project plans, schedules, action logs, RAID logs, stakeholder lists, reporting materials, and project documentation.
• Coordinate meetings with cross-functional business, technical, non-technical, vendor, design, and operations stakeholders.
• Prepare meeting agendas, capture meeting minutes, document decisions, track action items, and follow up with stakeholders.
• Support project budget tracking, financial reporting, forecasting inputs, purchase order tracking, invoice coordination, and cost documentation.
• Track project risks, issues, dependencies, change requests, deliverables, milestones, and required approvals.
• Support workplace change activities, including workspace assignments, team member moves, renovation handoffs, and related communications.
• Coordinate project documentation and close-out activities with internal and external parties.
• Support coordination of vendors, design partners, furniture, signage, finishes, space accessories, procurement, delivery, and installation activities as required.
• Assist with onboarding design firms, vendors, and other external partners.
• Coordinate drawing review meetings and help track comments, decisions, revisions, and follow-up items.
• Support renovated space handoff activities to the operations team.
• Provide clear project updates, status tracking, and reporting support for stakeholders at all levels.
• Maintain strong working relationships across internal teams and external partners.
• Provide on-site coordination support as required; occasional travel across Canada may be required.
Requirements:
• 3+ years of project coordination, project support, or junior project management experience.
• Experience supporting IT, corporate real estate, workplace, facilities, office renovation, or transformation initiatives.
• Experience coordinating cross-functional stakeholders, including business, technical, non-technical, vendor, design, and operations teams.
• Experience supporting project documentation, meeting coordination, action tracking, status reporting, and close-out activities.
• Experience supporting budget tracking, invoice coordination, purchase orders, forecasting inputs, cost reporting, or financial documentation.
• Experience supporting workplace change management, workspace assignments, team member moves, or renovated space transitions.
• Experience coordinating vendors, design firms, furniture, signage, finishes, or other space-related deliverables is an asset.
• Proficiency with Google Workspace; experience with BIM 360 or similar project collaboration/document management tools is preferred.
• Strong communication, facilitation, stakeholder coordination, planning, documentation, and organizational skills.
• Ability to work independently, manage competing priorities, and thrive in a fast-paced environment.
• High attention to detail with strong follow-up, problem-solving, and time management skills.
• CAPM, PMP in progress, or related project management training is an asset.

The hourly rate range for this position is $ 35 - $ 45, with the final rate based on consultant experience and fit for the role.
