As our Executive Assistant, you’ll be the CEO’s right hand, ensuring every detail is in place. You’ll coordinate staff travel, prepare itineraries, and keep our office running like a well-oiled machine.
Your role will include maintaining confidentiality, organizing meetings, managing correspondence, and handling special projects.
We’ll be honest, you gotta love scheduling, be a presentation master, and a guru when it comes to Excel and spreadsheets.

What you’ll be doing
- Keep the office spotless and efficient, ensuring everything is in its place and ready for action.
- Coordinate staff travel plans, craft detailed itineraries, and ensure seamless adventures.
- Attend and manage meetings like a pro prepare agendas, book locations, take minutes, and distribute them promptly.
- Master the Executive Leadership Team's calendars, booking and coordinating appointments effortlessly.
- Dive into event planning and be an active Social Committee member as the CEO's representative.
- Handle all incoming enquiries, sort and manage CEO / President's correspondence, and keep communication flowing.
- Tackle research, special projects, data tracking, and report production with enthusiasm and precision.
What you need
- Bachelor’s Degree : In Business Administration, Communications, Accounting, or a related field preferred.
- Minimum of 3 years of experience as an Executive Assistant, preferably in the automotive industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with project management tools, and basic knowledge of CRM systems.
- Exceptional verbal and written communication skills, with the ability to interact professionally with all levels of the organization and external stakeholders.
- Strong organizational and multitasking abilities, with a keen eye for detail and accuracy.
- Proven ability to manage multiple priorities, meet deadlines, and work efficiently in a fast-paced environment.
- Strong problem-solving skills, with the ability to anticipate needs and provide proactive solutions.
- High level of discretion and confidentiality in handling sensitive information.
- Excellent interpersonal skills with a positive attitude and a team-oriented approach.
- Ability to adapt to changing priorities and handle unexpected challenges with ease.
- High degree of professionalism, with a polished and confident demeanour.
- Experience in managing projects, coordinating events, and assisting with high-level administrative tasks.
- Experience in coordinating travel arrangements, including flights, accommodations, and itineraries.
- Understanding of the automotive industry landscape, terminology, and key players is a plus.
