Job Overview : We are seeking a highly motivated and detail-oriented individual to join our team as a Broker Settlement and Licensing Administrator.

The successful candidate will play a crucial role in ensuring the accurate calculation and processing of our Broker Settlement / Compensation.

This role is accountable for a wide range payroll related duties including processing driver payroll, entering new hires and brokers, employee changes and broker and payroll reports.

You will have the ability to maintain confidentiality and interact well with others within a repetitive, multitasking environment.

This position involves managing and processing of vehicle licensing requirements, overseeing broker work-order settlement processes, and maintaining strong relationships with the internal teams to ensure compensation and fleet licensing accuracy.

Responsibilities :

Broker Settlement Processing.

  • Preparation of semi-monthly Broker compensation packages.
  • Settling and exporting miles, percentage, and flat-rate earnings.
  • Process related deductions.
  • Interact closely with Fleet & Maintenance Group and Safety & Compliance to ensure all billable-to-broker work orders and charges are processed.
  • Ensure that all outside vendor invoices that are billable-to-broker are captured, paid, and allocated.
  • Respond to broker queries regarding the payment process.
  • Manage the loan repayment process to brokers.

Driver Payroll Administration.

  • Assist in the driver payroll calculation process via processing trip reports.
  • Assist in the processing and management of the driver trip reports to calculate earnings.
  • Assist in the preparation of bi-weekly payrolls.

Fleet Licensing.

  • Responsible for processing and managing the tractor and trailer licensing for the national fleet.
  • Manage all equipment ownership files.
  • Manage vehicle permits, and toll transponders.
  • Manage the required documentation for Broker owned equipment.

Process Improvement.

  • Identify opportunities for process improvements in licensing, settlement, and brokerage operations.
  • Implement best practices to enhance efficiency and reduce errors in the licensing and settlement processes.

Documentation and Record Keeping.

  • Maintain organized and up-to-date records related to licensing, settlements, and compliance.
  • Ensure that all documentation meets regulatory standards and can be easily retrieved for audits.

Our Ideal Candidate will possess :

  • Detail oriented with a passion for working with numbers and data entry.
  • Ability to manage in a multi-task environment.
  • Excellent interpersonal skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and be adaptable.
  • Proficient in using Excel, Word, Outlook and comfortable learning and using various transportation management software.
  • Previous experience in the Trucking Industry would be an asset.
  • Experience in an office setting with additional payroll experience is considered to be an asset.

Qualifications :

  • Proven experience in Broker Settlement, Licensing, or a similar role within the Commercial Transportation industry.
  • In-depth knowledge of vehicle licensing requirements (National and Cross-Border),
  • Experienced in Broker Settlement processes.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a focus on accuracy and compliance.
