Position Overview
The Marketing Coordinator is responsible for creating and supporting delivery of proposals, working on various Marketing projects and initiatives, providing vital support for Marketing activities, and ensuring seamless coordination across the department.
The Marketing Coordinator possesses superior organization and time management skills, creative flair, and has a proactive approach to supporting the overall success of the Marketing team.
What we’re looking for :
Marketing Content Creation Request for Proposal (RFP)
RFP Package
Utilize Company’s RFP framework strategy to effectively execute creation of assigned
proposals.
- Review, identify and establish clear understanding of RFP content needs.
- Collaborate and coordinate with internal teams to gather necessary information outlined in RFP submission requirements.
- Create compelling written content for the proposal to effectively communicate the Company’s capabilities and offerings.
- Create and edit proposal documents, ensuring accuracy, clarity, and compliance with the client’s RFP process and standards in addition to maintaining the RFP submission requirements.
- Review, proofread and revise proposals based on internal feedback, ensuring alignment with RFP submission requirements.
RFP Interview
- Create visually engaging and informative presentation decks using various software that communicate the Company’s value proposition, solution offerings and key differentiators.
- Collaborate with Marketing team to design and customize presentation templates, graphics and visuals that align with the Company’s brand identity and standards.
- Coordinate with internal teams to gather content, insights, and data needed for interview presentations.
Marketing Projects & Branding
- Ensure consistent implementation of Company brand guidelines across all channels and materials.
- Assist Marketing Manager in developing and executing marketing and branding initiatives, taking ownership of initiatives and projects identified by the Marketing Manager.
- Coordinate and communicate directly with vendors to execute Marketing projects and initiatives to completion, such as scheduling photographers, to ensure appointments meet client and team expectations.
- Conduct market research, competitive analysis, and prepare Marketing and industry trend reports.
Marketing Coordination
- Update Company’s Marketing inventory, keeping inventory regularly maintained and organized.
- Collect social media assets to support the Company’s Marketing plan / social media initiatives and deliverables.
- Organize and manage the Company’s digital asset library, (such as photos, videos, and RFP assets), keeping it updated, edited and organized.
- Review and reconcile Marketing vendor invoices and submit them for internal approval.
- Coordinate meetings, conferences, and staff communication as required.

Requirements
- Post-secondary education in Marketing, Graphic Design or a related field
- 2 4 years of experience in Marketing and / or Social Media demonstrating progressive growth
- Experience with writing, editing and revising Marketing content in a professional capacity
- Knowledge of the construction management / commercial real estate industry is considered an asset
- Experience drafting and editing Proposals is considered an asset
- Excellent research, writing, editing, and proofreading / revision skills
- Superior communication skills, both written and verbal
- Excellent eye for detail and strong design skills
- Excellent time management and organization skills with ability to prioritize multiple requests simultaneously
- Proficiency in Microsoft Office Suite, with emphasis on strong knowledge and skills in MS PowerPoint
- Strong proficiency in Adobe Creative Suites Software, specifically InDesign and Illustrator
- Basic Photography, Videography and Videography skills considered an asset
