About the Role Reporting to the Medical Director, the Laboratory Technician is the central point for sample collection, processing, and management.
You will ensure the smooth operation of laboratory services for our own patients as well as those from partner organizations participating in new programs.
You will support the Medical Director and clinical team by managing specialized diagnostic workflows and playing a key role in the continuity of the patient experience.
Because many of our patients travel from the United States, this role requires adaptability, resourcefulness, and the ability to navigate unique sample‑handling requirements, international shipping logistics, and coordination with service providers on both sides of the border.
Key Responsibilities : LAB RESPONSIBILITIES
- Perform phlebotomy and manage all laboratory samples with precision and adherence to protocols.
- Prepare, process, and ship specialized and “private” lab test kits, including cross border shipments requiring careful documentation and coordination.
- Administer injections (Vitamin B12, NAD, vaccines, etc.) under the direction of the Medical Director or delegated medical staff.
- Send laboratory requisitions to patients 2-3 weeks prior to scheduled appointments with practitioners.
- Coordinate with patients regarding recommended tests and orders, schedule bloodwork appointments, and provide pre-test instructions as needed.
- Maintain the laboratory environment, equipment, and supplies in optimal condition, including inventory monitoring and restocking.
- Process laboratory information and patient data, ensuring critical results are escalated immediately to the attending practitioner.
- Monitor partner laboratory portals daily to track uploads, results, and outstanding reports.
- Accurately enter all routine and specialized test results into the EMR prior to patient appointments. CROSS BORDER & VENDOR COORDINATION
- Work with U.S.
and Canadian service providers, couriers, and specialty labs to ensure timely and compliant transport of samples and test kits.
Troubleshoot logistical challenges related to customs clearance, shipping delays, and sample integrity.Serve as a point of contact for external partners, demonstrating professionalism and solution focused communication. TEAM & ADMINISTRATIVE SUPPORTProvide administrative support to the Medical Director and clinical team.Build positive, professional relationships with all clients, including those traveling internationally.Assist with front of house operations when needed (checkin / out, scheduling, invoicing, IT coordination).Contribute to quality improvement initiatives and clinic operations.Conduct additional assessments such as blood pressure, anthropometry, body composition analysis, ECG, NeuralChek and VO₂ Max.Support IV therapy and ozone dialysis as trained and directed.Perform other duties as assigned. Important Working ConditionsFrequent use of computers, EMR systems, and office equipment in addition to lab‑specific tools.Periods of focused data entry requiring accuracy and attention to detail.Regular interaction with clients, clinicians, and external partners.Occasional interruptions and shifting priorities in a fast‑paced clinical environment.Telephone and digital communication with clients and service providers.Qualifications & Competencies
Training in phlebotomy and laboratory procedures from an accredited institution.3+ years of hands‑on clinical experience, ideally in primary care, integrative medicine, or functional medicine.Strong adaptability and problem‑solving skills — able to navigate cross‑border logistics and non‑standard sample requirements.Excellent communication and interpersonal skills with a patient‑centred approach.Ability to work collaboratively within a multidisciplinary team.Proficiency with electronic health record (EHR) systems.Strong organizational skills and attention to detail.Demonstrated ethical conduct, professionalism, and compassion.Why Join VivaGen Life Sciences?
