Under direction from the Operations Manager or their designate, the Administrator is responsible primarily for the accurate entry of transportation, waste, vendor and supply invoices into the GFL accounts payable system for both operational and capital expenditures.
That will require liaising with internal and external stakeholders for invoice validation. Secondary duties include vendor management, purchasing support and to act as backup and support for other administrator roles currently in place at the facility .

Key Responsibilities :
- Entry of transportation, waste, vendor and supply invoices into the GFL accounts payable system ;
- Develop an understanding of day-to-day operations, as well as knowledge of all internal processes and inventory movements;
- Emphasize the entry, accuracy , maintenance and management of the online database;
- Working closely with team members of the Transportation, Dispatch, Laboratory and Operations to verify incoming invoices;
- Documentation control photocopy and collate documents for distribution, mailing and filing.
- Support the purchasing functions of the division.
- Liaise with the corporate accounts payable division to ensure divisional compliance with the AP / purchasing protocols.
- Dealing with phone enquiries and assisting vendors and forwarding related questions to management where applicable.
- Set up vendors create and log purchase orders.
- Verify invoices with packing slips and work orders.
- Other tasks as assigned.
Kowledge, Skills, Abilities and Competencies :
- Diploma in office administration diploma and related disciplines
- Familiarity with the operations within the waste management space would be an asset.
- Familiarity with account payables and vendor management would be an asset.
- Proficiency in Microsoft office suite of products including Word, Excel, Power Point and Outlook with emphasis on Excel
- Minimum 60 WPM typing speed;
- Strong interpersonal skills and ability to develop and foster relationship growth in a professional setting;
- Capable of empathetic listening and conflict resolution in a fast paced and high volume environment;
- Excellent communication skills in oral and written English;
- Ability to independently resolve problems within one’s scope of authority and understanding of when to escalate to superiors;
- Solid personal integrity and dedication;
- Ability to work without supervision;
- Willing to work overtime, alternate shifts and occasional weekends.
