The WestJet Vacations Accounts Payable Coordinator (WVI APC) is responsible for the reconciliation of WestJet Vacations supplier statements for payment release as per contractual payment terms.
The WVI APC will receive supplier statements and complete the review of bookings details against operational cost lines, processes matched bookings, investigates amount discrepancies, engages with multiple internal departments, resolves account issues and delivers consistently professional responses for payment and remittance enquiries.
Responsibilities
- Responsible for the management of WestJet Vacation supplier accounts payables.
- Performs supplier statement reconciliations with payment release.
- Adheres to internal control narratives for payment exceptions handling.
- Builds effective relationships with internal business units such as WVI Operations, Product, Accounts Receivables and Accounts Payables.
- Delivers professional and accurate responses in a timely manner to meet service levels and contractual terms.
- Communicates with internal business units for operational investigations and adjustments.
- Organizes and maintains supplier documentation in compliance with internal audit requirements and narratives.
- Resolves account discrepancies by engaging with appropriate internal stakeholders.
- Supports opportunities for process improvements, increased efficiencies and cost reductions.
- Remains adept and reactive to high volume processing with increased complexities.
- Collaborates with team members and senior coordinator for rotational supplier support.
- Supports ad-hoc projects or functional related duties.
Experience and Demonstrated Knowledge
- 3 to 6 years working experience in TTS Softvoyage or related tour operator systems.
- 3 to 6 years working knowledge of WestJet Vacations or equivalent.
- Business degree / diploma or related experience
- I ntermediate to advanced knowledge of Microsoft Outlook, Excel, Teams and SharePoint.
- High functioning with exceptional organizational and time management skills.
- Strong communication skills required to communicate complexities concisely and accurately with internal and external parties, demonstrating professionalism in both written and verbal communication.
- Ability to analyze and navigate high volumes of data.
- Ability to meet deadlines while accurately completing high volume processing .
- Collaborative skills to build strong, positive relationships with diverse groups.
