Job descriptionThe Media Clerk is a critical support role focused on administrative excellence, financial rigor, and project management discipline in support of client service and media planning teams. This role ensures the financial health, operational accuracy, and smooth execution of media accounts by managing processes, documentation, budgets, and workflows. The ideal candidate is highly organized, detail-oriented, comfortable working with numbers, and motivated by enabling teams to perform at their best through strong operational foundations. KEY RESPONSIBILTIES Financial Health & Account Rigor: - Support the financial integrity of assigned accounts by tracking media spend against approved budgets and plans - Maintain accurate budget trackers and flag discrepancies, risks, or overspend early - Support monthly and quarterly financial processes including billing control reports (BCRs), accruals, and reconciliations - Partner closely with Finance to ensure timely invoicing, payments, and issue resolution - Maintain organized financial documentation to support audits, compliance, and transparency Administrative & Client Service Support: - Provide day-to-day administrative support to client service and media planning teams across multiple accounts - Maintain accurate account documentation including scopes, approvals, trackers, and internal records - Support campaign setup and maintenance in internal systems and tools - Assist with onboarding new accounts, vendors, and campaigns from an operational standpoint - Serve as a reliable coordination point to ensure information is current, accurate, and accessible Project Management & Workflow Support: - Track campaign timelines, deliverables, and dependencies across accounts - Support structured project management by monitoring task completion and following up on deadlines - Maintain workflow tools, trackers, and status documents to support team visibility and accountability - Assist in identifying process gaps or inefficiencies and support continuous improvement initiatives Reporting & Data Integrity: - Ensure accuracy and consistency of data across internal systems, trackers, and reports - Support preparation and quality assurance of internal and client-facing status, financial, and performance reports - Maintain reporting standards and ensure documentation is audit-ready SKILLS & QUALIFICATIONS - Strong interest in operations, financial management, and administrative excellence within a media or professional services environment - High comfort level working with budgets, numbers, and financial controls - Highly organized with strong attention to detail and follow-through - Ability to manage multiple priorities in a fast-paced environment - Clear communicator who collaborates effectively with Client Service, Planning, and Finance teams - Proficiency in Microsoft Excel (tracking, reconciliations, analysis) and PowerPoint (documentation, reporting) - Prior experience in a media agency, marketing, or client services environment is an asset but not required Additional Information: This role represents an active vacancy at Havas.
